Position Description:
The Account Coordinator is responsible for overseeing the day-to-day administration of the UFCW Pension Plan, including but not limited to retirement processing, salary audits, contribution reporting, participant records, and benefit calculations. This position supports and monitors the work of Benefits staff to ensure all pension-related activities are processed accurately, timely, and in compliance with Plan provisions and applicable regulations.

ESSENTIAL DUTIES AND RESPONSIBILITIES
This list is not all-inclusive and may be supplemented depending on organizational needs and other duties as assigned to include the following:

  • Coordinates and monitors the daily work of Benefits staff who work on the Pension Plans to ensure the timely completion of assignments.
  • Reviews staff work for accuracy, completeness, and provides guidance and training to ensure consistency in processes.
  • Serves as the first point of escalation for complex cases, discrepancies, and participant issues, referring matters to senior leadership as appropriate.
  • Processes retirement applications for new retirees and surviving spouses.
  • Performs initial review of salary audits and final pension benefit calculations.
  • Oversees the completion of Monthly Participant Reports.
  • Assists with mass mailings and related administrative distribution activities as needed.
  • Reviews and assists in resolving discrepancies related to contributions, reporting, and participant records.
  • Assists with the annual audit and provides requested documentation.
  • Performs initial review and approval of previous service purchase calculations and related participant adjustments.
  • Responds to participant, beneficiary, and UFCW inquiries and resolves issues affecting Plan administration.
  • Maintains ongoing communication with financial institutions, UFCW Local Unions, and plan participants.
  • Issues stop payments and coordinates corrections for lost or outstanding checks.
  • Ensures compliance with Plan provisions, ERISA requirements, and HIPAA confidentiality standards.
  • Oversees the maintenance of participant screens, pension records, and related documentation.
  • Supports senior leadership by ensuring operational accuracy, consistency, and serves as support for pension processing functions during staff absences

QUALIFICATIONS:

Education and/or Experience
A Bachelor’s degree in Benefits Administration or a related field, such as Finance, Accounting, or Human Resources, is required, with a minimum of 4 years of progressive experience in pension administration, benefits processing, or a related field, or 6 years of experience in the previous described fields. Prior supervisory or team lead experience is preferred.

Professional Skills
Must be able to maintain strict confidentiality of sensitive UFCW records, exercise sound judgment, and make effective decisions is required.

Computer/Software Skills
Strong proficiency in Microsoft Excel, Word, and database systems is required, along with the ability to analyze and validate high-volume financial and participant data. Experience with pension administration systems is preferred.

Communication Skills
Excellent written and verbal communication skills are essential, including the ability to interpret Plan documents and clearly explain complex pension information to a variety of audiences. A strong knowledge of pension plan operations and applicable regulations, including ERISA, is preferred.

Other Knowledge/Skills/Abilities Required

  • Strong organizational skills and attention to detail, with the ability to maintain accurate participant records, pension calculations, and related reporting.
  • Proven ability to identify discrepancies in contribution reporting, benefit calculations, and participant data, and resolve issues in a timely and accurate manner.
  • Demonstrated quantitative skills applied to benefit calculations, service credit determinations, and validation of participant data.
  • Ability to interpret and execute instructions delivered in written, verbal, or visual formats, applying sound judgment to both routine and non-routine pension administration tasks.
  • Skilled in identifying issues, gathering relevant information, validating data, and drawing well-supported conclusions to improve accuracy and maintain the integrity of pension records and processes.

Job Demands
The work atmosphere is fast-paced and deadline oriented.

Working Conditions
The work is performed in a normal office environment where the noise level is usually moderate.

Physical Demands
The position involves, but is not limited to, written and oral communications skills, use of computer keyboard, close vision, sitting for long periods, stooping, bending and reaching.

This is an exempt position under the Fair Labor Standards Act (FLSA).

COMPENSATION
Salary Range: $59,585 – $74,632.
