We represent approximately 1,300 clerical and technical employees at the nine-campus Los Angeles Community College District (LACCD). Leadership Qualities & Characteristics:
The AFT College Staff Guild, AFT Local 1521A, is looking for an Executive Secretary to support the smooth functioning of the executive office. This role allows leadership to concentrate on strategic decisions and priorities, while also helping to grow the union's membership and achieve its goals. The ideal candidate must demonstrate confidentiality, integrity, dedication, and a strong work ethic.
Executive Secretary- Assistant to the President Job Descriptions: Performs a variety of specialized, confidential support to the President and oversees all clerical functions in the AFT 1521A President's Office, handling sensitive matters with discretion. The Executive Secretary assumes responsibility for administrative details involving a combination of the following duties:
- Complete assigned clerical responsibilities from the Guild President to assist in managing the overall office workload.
- Respond to and draft emails, directing all clerical operations within the President's Office.
- Review outgoing correspondence, reports, publications, and other materials for accuracy, proper format, and compliance with applicable laws, rules, procedures, and Presidential directives.
- Maintain and distribute the approved Guild vendor list to Officers.
- Serve as a liaison for the President regarding scheduling, information requests, and designated administrative support projects.
- Arrange transportation, hotel, and business accommodations for the President.
- Prepare and process expense reimbursement claims for interoffice supplies in accordance with financial oversight policies.
- Prepare, review, and distribute correspondence, memoranda, agendas, minutes, reports, and other necessary materials on behalf of the President.
- Demonstrate advanced proficiency in Microsoft Office Suite, including expertise in Excel (complex formulas and data analysis), PowerPoint (professional presentations), Word (formatting and mail merge), and Outlook (calendar and communication management).
- Maintain and coordinate the President’s calendar, schedule appointments and meetings, and provide comprehensive time management support. Report directly to the President and deliver administrative support solely to the President, unless directed otherwise.
- Compile and organize information from the District related to Shared Governance committee meetings involving AFT 1521A and ensure these are accurately reflected on the President's calendar.
- Prepare and process AFT 1521A membership dues, COPE, and other checks for deposit at the appropriate bank.
- Assist Accounting and the Treasurer with audits and financial transactions.
- Prepare documentation for AFT 1521A negotiations as needed.
- Compile and create materials for the Retiree Chapter.
- Carry out related responsibilities, including managing office supply inventories, organizing staff events, compiling reports and data for special projects, supporting outreach activities, and providing backup coverage for other administrative staff. Perform additional tasks as needed to address evolving priorities of the President's Office or organization.
Minimal Qualifications
Knowledge, Skills, and Abilities:
- High school diploma or equivalent; Associate degree or higher preferred.
- Minimum of 3 years of recent, relevant administrative or executive support experience, ideally in a union or educational environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required. Advanced skills preferred.
- Excellent written and verbal communication skills.
- Ability to exercise discretion and maintain confidentiality at all times.
- Strong organizational skills with attention to detail and accuracy.
- Ability to prioritize tasks and manage multiple assignments simultaneously.
- Experience with sensitive or confidential information and proven discretion required.
- Current California driver’s license
- Must be willing to work out of the Los Angeles office.
