Office Location: Ramapo College of New Jersey, Mahwah, NJ
Salary: $25/hour, Part-time 20 hours/week
Ramapo Federation of Teachers, AFT Local 2274 is a union representing nearly 600 faculty, librarians and professional staff at Ramapo College of NJ, a public liberal arts college.
Under the supervision of the Vice President and President, the Office Manager is responsible for managing and maintaining the day-to-day operations of AFT Local 2274’s office.
Purpose:
We are seeking a responsible, high-energy, well-organized person to perform a variety of administrative and clerical tasks including confidential matters. Labor or campaign experience is beneficial.
MAJOR DUTIES AND RESPONSIBILITIES
OFFICE
- Maintain the union office in a professional, presentable condition.
- Maintain inventory of office supplies, office equipment, arranging tech. support.
- Manage office mail and email. Retrieve, open, respond and/or disburse to officers as needed.
- Monthly back up all electronic files and data on external hard drive and cloud storage.
- Maintain archives – both paper and electronic files.
- Maintain lists of Executive Committee, AFT Delegates and alternates.
- Assist Officers and Executive Board Members, as requested.
- Complete annual Workers Compensation Insurance audit.
INTERNAL COMMUNICATION
- Prepare communications to membership and maintain accurate distribution lists in mass emailing platform.
- Respond to phone calls, e-mails and visits from unit members and the campus community and refer as appropriate.
- Maintain a transaction log that includes the member’s name, date of call or office visit, and any other information related to the matter.
EXTERNAL COMMUNICATION
- Prepare correspondence for the President and Vice President.
- Liaise with the Council of New Jersey State College Locals, AFT New Jersey and AFT National as needed.
- Liaise with Ramapo College’s Employee Relations Department and Payroll Department to obtain bargaining unit information lists and dues reports, review for accuracy, address corrections and request special lists as needed.
MEETINGS
- Prepare yearly meeting calendar. Arrange events, meetings and activities on or off campus and prepare associated materials.
- Executive and General Membership Meetings – set up dates, reserve rooms, order catering; prior to meetings send notice (Call for Reports) to Executive Committee; send out reports and agenda prior to meeting.
- Attend and participate in meetings and events such as the General Membership Meetings, Executive Board Meetings and Officer Meetings.
MEMBERSHIP
- Participate in member outreach, assemble and provide union orientation packets to new or prospective members.
- Maintain local membership database
- Maintain AFT Connect National database
- Process new memberships and COPE contributions
CONVENTIONS AND CONFERENCES
- Inform and remind Officers of upcoming events, including meetings, workshops, and conferences of the Council of NJ State College Locals, AFT-New Jersey, and AFT National.
- Prepare for AFT National Convention, held every other year, by working with appropriate officers to make sure that all convention requirements are met and the local is in compliance.
- Facilitate members’ registration and arrangements for various conferences, workshops
- Prepare all travel expense forms.
MINIMUM QUALIFICATIONS
- High school diploma
- At least two years of experience in a related administrative assistant, bookkeeping and/or office manager position
- Strong computer skills, specifically with Microsoft Office and Google suite products, with the ability and willingness to learn new applications
- Excellent communication and interpersonal skills
- Excellent time management skills and self-motivating with the ability to set goals and work independently, or on a team
- Enthusiasm for labor unions and organizing
- Detail-oriented with a high degree of accuracy for data management and in correspondence
- Sensitive to the need for confidentiality
- Ability to understand, analyze, interpret and apply established law, regulations, policies, procedures, precedents and guidelines
PREFERRED QUALIFICATIONS
- 3-5 years of relevant work experience
- Prior experience with unions or organized labor
- Prior experience working in higher education
- Experience managing databases
- Experience with purchasing and inventory
- Experience with membership drives and recruitment
