Operations Director

About CUCFA
The Council of UC Faculty Associations (CUCFA) is the coordinating agency for the ten employee associations of University of California Senate faculty, with a current annual budget of approximately $300,000. CUCFA and its member faculty associations advocate for the rights of faculty in the workplace and for higher education as a public good. CUCFA regularly collaborates with other University of California unions and the Academic Senate to further these goals. CUCFA is a partner organization of AAUP (American Association of University Professors) and a member of Higher Education Labor United.

The organization is currently undergoing a transformation with new leadership and a shift in strategic direction from a service model to an organizing model. We aim to significantly increase the collective power of our chapters through deeper and more sustained faculty organizing and focused workplace campaigns. We are currently hiring for two staff positions, an Operations Director and an Organizing and Advocacy Director, who will work closely with CUCFA’s new leadership to shepherd the organization through this exciting period of change. 

About the Position
The Operations Director is responsible for leading and managing all aspects of the organization’s operations as well as supporting operations at our campus chapters. This hands-on role encompasses budgeting and finance, administration, data management, human resources, communications, and organizational development.

The Operations Director will play a key role in identifying opportunities to expand the organization’s capacity, building out internal systems as we grow and launch new organizing campaigns in the next 1-2 years.

KEY RESPONSIBILITIES

  • Organizational and Chapter Financial Management
  • Work with board treasurer to review current financial procedures to improve efficiency and set up appropriate internal controls
  • Manage membership dues collection and distribution from all campuses 
  • Oversee and assist with bookkeeping and financial management for CUCFA and CUCFA chapters including payroll, bank reconciliations, accounts payable/receivable, and cash management for CUCFA
  • Oversee annual tax filings for CUCFA and CUCFA chapters
  • In collaboration with board treasurer, manage CUCFA budget
  • Ensure compliance with all legal, regulatory, and financial reporting requirements

Data Management and Communications Support

  • Working with Organizing Director, board members, and chapter members, provide routine website updates
  • Provide website and list service technical support for CUCFA and chapters
  • Help roll out use of newly built CRM and newsletter tool and manage chapter, board, and staff access
  • Work with Organizing Director to orient and train chapter members and leaders on communications tools, CRM use, and data collection

Human Resources Administration and Personnel 

  • Develop and implement personnel policies and benefits program for staff
  • Manage benefits program
  • Work with board to design and implement future hiring processes

Organizational Development

  • Collaborate with leadership to develop short and long-term operational plans that align with the organization’s mission and strategic goals and increase capacity for future organizing campaigns

Qualifications
You may be a good fit for this role if you at least five (5) years of experience doing a combination of the following: 

  • You've handled bookkeeping and reconciliations for a nonprofit organization or network with multiple chapters, offices, or departments;
  • You’ve overseen organizational budgets and are comfortable working with a board to develop new budgets and manage cashflow;
  • You’ve filed tax forms and participated in yearly audits;
  • You’ve seen the need for new policies, systems, or processes in your workplace and helped design and scale them;
  • You’ve administered benefits and helped set up and roll out new benefit programs;
  • You've helped a membership organization or network organize and manage its data;
  • You’ve trained others on how to use a CRM and access the data they need;
  • You’ve maintained websites and mailing lists;
  • You’ve designed and edited email newsletters;
  • You’ve managed relationships with third-party vendors and institutional partners, including academic institutions;
  • You’ve led strategic planning sessions and project-managed implementation of new plans and initiatives.

Working Conditions
This is a full-time position with standard working hours. There is flexibility to accommodate scheduling changes when support for occasional evening and, less frequently, weekend events is required. CUCFA is a remote workplace and candidates should have access to a home office or equivalent.

Compensation
Yearly salary is set at $92,000 with expectation for increases as our membership grows. We expect to have our health insurance plan in place by the start date for this position and will be building out our benefits program through the coming year. The person in this role will have a large hand in helping determine their own benefits package.
