Position Description: 
The Assistant Director is responsible for assisting the Director with the budget, real estate at the International and Region Offices and other duties as assigned. This position will assist the Director with supervising staff, overseeing contractors, and will perform duties and responsibilities under the guidance of the Director.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Budget

  • Reviews work schedule, costs data, set priorities and expedite operation of the projects. 
  • Maintains and tracks budget and the project timelines.
  • Controls cost with vendors for custodial services, security, janitorial services, etc.
  • Reviews third-party vendor reports to help reduce utility expenses and coordinates with vendors for the purchase of electricity and gas. 
  • Manages the distribution of all payments, ensuring they are correctly categorized in the correct general ledger for budgeting purposes.

Real Estate - Headquarters and UFCW Regions 

  • Ensures compliance with lease requirements such as certificates of insurance, parking, and scheduling moves. 
  • Keeps HQ tenant information up to date, including floor plans, rent rolls, expiration of the leases, and payments.
  • Coordinates with HQ tenants on suite improvements and manages relationships with union contractors.
  • Organizes the logistics of HQ tenant occupancy and moves within the building.
  • Assists with regional office leases, ensuring accuracy of lease documents, real estate taxes, and operational expenses. 

Other

  • Updates the building operations procedure manuals such as contractor rules, building rules and regulations, emergency procedures, etc. 
  • Ensures compliance with building certificates, inspections, licenses, and schedules servicing for building equipment as directed.
  • Assists with trash, recycling program.
  • Builds and maintains positive business relationships with contractors and tenants.
  • Assists with bid requests for services related to maintenance, renovations, or improvements on properties for HQ and Regions.
  • Upon receiving a meeting form from Departments/Offices, follows up and creates a schedule with engineers to setup the board room, and other requests for the meeting. Follows up with the removal of furniture and setup of the board room after the meeting is over.
  • When receiving notifications of new hire or termination of employee from Human Resources, coordinates the new office/workstation for cleaning, dusting and other needs with engineers and building porter.
  • Learns and remains familiar with UFCW’s security system, Datawatch.
  • Assists with identifying areas for improvement throughout the building and notifying the Director with solutions.
  • Performs other duties as assigned.
  • Attends conferences, workshops, meetings and webinars. 
  • Travel may be sometimes necessary to regions to tour and inspect furniture and property.

QUALIFICATIONS:

Education and/or Experience

  • Bachelor’s degree in Business Administration, Facilities Management, Property Management, or related field required. Two or more years of experience in commercial property management, facilities operations, or real estate administration preferred. An interest or background in real estate practices and building systems a plus. Proficient with Microsoft Office Suite (Word, Excel, Outlook), and familiar with work order systems, building automation software, or property management platforms (e.g., Yardi, Angus, Building Engines).

Communication Skills 

  • Strong oral and written communication skills.
  • Ability to read, interpret, and apply building codes, technical documentation, contracts, and regulations.
  • Capable of professionally interacting with tenants, vendors, building engineers, union personnel, and senior leadership.
  • Comfortable presenting updates, drafting reports, and documenting operational issues.

Analytical and Administrative Abilities

  • Strong organizational skills with ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Skilled in analyzing and interpreting service reports, invoices, and contract terms.
  • Accurate with numbers and able to perform reconciliations, budgeting calculations, and percentage-based adjustments.

Problem Solving

  • Applies common sense and sound judgment in routine and urgent building matters.
  • Able to troubleshoot operational issues, interpret diagrams/instructions, and support decision-making during emergencies or repairs.

Personal Characteristics

  • Honest, dependable, and self-motivated.
  • Detail-oriented, highly organized, and service-focused.
  • A team player who demonstrates professionalism and discretion at all times.

Work Conditions and Job Demands

  • Must be able to manage shifting priorities and assist with building issues as they arise throughout the day.
  • Irregular hours may be required depending on building emergencies, special events, or project needs.
  • Comfortable working in a confidential environment involving sensitive tenant and operational information.
  • Ability to make sound decisions independently and maintain composure during high-stress situations.

Physical Demands

  • Regular use of computer and office equipment.
  • Occasional physical activity including walking property, climbing stairs, bending, stooping, and reaching.
  • Must be able to sit, stand, and communicate for extended periods. 

COMPENSATION
Salary Range:
$80,000 – $92,000.
