The Maryland State and D.C. AFL-CIO is a federation of over 700 local unions – representing over 320,000 union members – joined together with the common purpose of advancing the interests of union members and working families. Our affiliates include local unions that represent public sector workers (state, county, municipal employees, higher education, and federal government workers), skilled construction tradespeople, teachers and school support staff, manufacturing workers, hospitality workers, entertainment professionals, athletics, healthcare workers, retail workers, paraprofessionals, transportation workers, and nearly every type of job in every sector of the Maryland and DC economy. We are looking for someone who is passionate about economic fairness, social justice, improving the lives of working people and strengthening the labor movement. 

Salary - $62,000 – $68,000 depending on qualifications specific to the job. Fully paid health care, pension, and leave benefits.

Duties and Responsibilities:

  • Provide administrative support for President;
  • Serve as the first point of contact for affiliates, vendors, and the general public- in person, by phone, fax and email;
  • Process, input and track mail and review incoming correspondence and materials;
  • Prepare response to inquiries and other routine correspondence;
  • Manage organizational calendar, send out meeting notices and reminders to the appropriate audience;
  • Provide logistical support for organizational meetings, conventions, fundraisers, committee meetings, and Executive Board meetings;
  • Maintain an inventory of office supplies, submit all orders for supplies, and maintain the supplies in an orderly efficient manner; 
  • Work with the bookkeeper to file financial reports, billings, receipts, documents, bank statements and make bank deposits;
  • Data entry into Labor Key and maintaining affiliate payment report;
  • Maintain current list of Executive Board members to include office and personal contact information, current list of all affiliates’ leaders with office and personal contacts, and lists of activists and volunteers;
  • Maintain roster of all service contracts, building inspections and make service calls for the building as needed;
  • Maintain the President’s calendar;
  • Take notes of all meetings asked to attend;
  • Prepare materials for meetings, briefings, executive board meetings, conventions, and conferences;
  • Create and maintain filing system for both hard copy and e-files;
  • Utilize the internet as a basic research tool for information gathering;
  • Understands and can communicate, the function of the AFL-CIO to both the internal and external labor movement;
  • Other duties as assigned

Qualifications

  • Excellent secretarial and computer skills including proficient knowledge of database and spreadsheet software;
  • Proficient in all Microsoft Office applications, including Excel and Word, google form, mail, merge, database, online scheduling, and editing website
  • Impeccable organizational skills to include meticulous attention to detail
  • Excellent communication skills, oral and written.
  • Understanding of the structure of the Maryland State and DC AFL-CIO as well as familiarity with our affiliated unions preferred, not required;
  • Professional, courteous, and tactful manner in the office and on the telephone;
  • Demonstrated ability to prioritize and manage multiple tasks;
  • Demonstrated ability to interpret and apply organizational policies and procedures;
  • Ability to adapt and integrate new technology trends;
  • Effective time management skills;
  • Demonstrated ability to exercise discretion sound political judgment with highly sensitive issues;
  • Experience working with elected leaders or in an Executive Office capacity preferred, not required;
  • Initiative to work independently;
  • Demonstrated ability to work well within a team;
  • Highly motivated and a self-starter;
  • Ability to adjust hours or work long and irregular hours when preparing for special events

Hours will be 8:30 AM - 4:30 PM or 9:00 AM – 5:00 PM in person in the office
