Office and Accounts Manager

Based in Naples, FL

 

Summary:
We're looking for an energetic professional who doesn't mind wearing multiple hats to establish team atmosphere through leadership and employee development. The incumbent works with minimal instruction or supervision and must be able to multitask and prioritize a wide variety of assignments. Candidate must be well organized and exercise the ability to work independently and collaboratively. Advanced written and communication skills required. Incumbent should have at least an intermediate knowledge on how to generate reports, develop presentations, and spreadsheets. Intermediate to advanced proficiency in Microsoft Office Suite, database management and QuickBooks is required.

The Office and Accounts Manager will be responsible for but not limited to:

  • Updating and maintaining the membership database of the organization and its affiliates
  • Facilitating the bi-weekly transmission of union dues through member bank accounts via Electronic Funds Transaction database
  • Maintaining rsvp list, securing hotels, travel, & food arrangements as needed for Association Events
  • Working with tenants for payment of rent and for upkeep of property & equipment
  • Maintaining Association Year To Date budget
  • Completing quarterly/annual filings with the state and affiliate organizations
  • Working collaboratively with association Treasurer on financial reports, including financial ledgers, budgets, balance sheets and income statements
  • Maintains association and staff calendars and develop building meeting schedule
  • Managing and order supplies and equipment as needed
  • Supervising office staff and delegating tasks as needed, managing employee schedules and troubleshooting scheduling conflicts as they arise
  • Developing organizational procedures and systems for office personnel, including filing, billing, accounts payable, payroll and scheduling
  • Working with outside vendors on all equipment issues in office
  • Printing, collating Agenda, Minutes and other meeting materials for meetings
  • Performing other duties as assigned by the association President

Requirements:

  • Proficiency in Microsoft Office suite, including Outlook, Word, Excel, and Publisher
  • Proficiency with database management, including Microsoft Access
  • Experience with scheduling, budgeting and payroll
  • Supply management experience
  • Excellent written and verbal communication skills
  • Comfort with fast-paced environment

Compensation & Benefits: The salary for this position is determined by the negotiated agreement between the Collier County Education Association and the Collier Staff Organization based on relevant experience. Salary range: $41,750 - $63,750 dependent on qualifications and experience. CCEA provides medical, life, and accidental death and dismemberment insurance to its employees with no monthly employee premium. Additionally, CCEA provides retirement, vacation leave, sick leave, and paid holidays.
