Executive Administrative Assistant for President
Based in Harrisburg, PA
The Pennsylvania AFL-CIO, a 700,000 strong membership statewide union organization seeks a highly organized, skilled, and serious individual for full-time work as Executive Assistant to primarily provide administrative support for President and work closely with Officers and Department heads. This position offers an opportunity for personal growth in a trusted and responsible administrative role that touches on all areas of the PA AFL-CIO’s programs. The Executive Assistant will have the opportunity to make a critical difference in a fast-paced environment.
Key responsibilities include:
- Coordinate meetings, events, and conferences
- Drafting letters, memos, and agendas, and keeping comprehensive files
- Scheduling and preparing materials for Board meetings and requisite follow-up
- Taking detailed minutes at meetings and preparing them for approval
- Convention/Conference preparation and planning
- Tracking action items and work plans to ensure initiatives are progressing
- Ensuring a well-functioning work environment including office, operations, and list management
- Supervising clerical staff
Requirements include:
- At least 10 years that demonstrates career advancement and increased skill level
- Extensive Convention/Meeting planning experience a big plus, including hotel contracts, rooming list and banquet event orders, etc.
- Demonstrated attention to detail and capacity to track and systematize information
- Strong ability to stay highly organized and multi-task in a fast-paced environment
- Proven self-starter who can work quickly and accurately under pressure
- Independence, good judgment, and diplomatic skills
- Professionalism and interpersonal skills
- Exemplary capacity to maintain confidentiality and discretion
- Excellent oral and written communication skills
- Proficient in all Microsoft products including Access
- Interest in unions, human rights, and/or advocacy are a plus
- Familiarity with State Legislature and Governmental Departments a plus
