Administrative Assistant

The AFL-CIO Technology Institute is a non-profit 501(c)(3) organization launched in 2021 to bring the voices of working people and unions into technology development and innovation policy. The creation of the Institute was a core recommendation of the 2019 AFL-CIO Commission on the Future of Work and Unions, a multi-sector collaborative of union leaders determined to build a powerful strategy to prepare our movement for the future of work.
The Administrative Assistant provides administrative support to members of the team. This role is critical in ensuring the smooth and efficient operation of the organization. Key responsibilities include managing schedules, coordinating travel, preparing correspondence, human resource tasks, and providing general administrative support.
The ideal candidate is highly organized, detail-oriented, and possesses excellent communication and interpersonal skills. You are required to be able to use your organizational skills to manage your office space and your time, as you will collaborate with numerous colleagues and organizational partners in a fast-paced environment. We also expect you to have excellent verbal and written communication skills.
Key Responsibilities
- Scheduling and Calendar Management
- Manage complex schedules for multiple executives, including scheduling meetings, appointments, and travel.
- Coordinate internal and external meetings, including conference calls and video conferences.
- Proactively identify and resolve scheduling conflicts.
- Travel Arrangements
- Coordinate domestic and international travel arrangements, including flights, hotels, and ground transportation.
- Prepare travel itineraries and expense reports.
- Ensure compliance with travel policies.
- Correspondence and Communication
- Draft, edit, and proofread correspondence, including emails, memos, letters, and presentations.
- Manage incoming and outgoing communications.
- Maintain accurate and up-to-date contact information.
- Human Resources Support
- Assist with reviewing resumes, scheduling interviews, and onboarding new employees, including processing paperwork and coordinating orientation.
- Maintain employee files and records.
- General Administrative Support
- Order office supplies and maintain inventory.
- Manage office equipment and ensure proper maintenance.
- Assist with special projects as needed.
- Data Entry and Record-Keeping
- Maintain accurate and up-to-date records in relevant databases.
- Prepare reports and presentations as needed.
Qualifications
- High School Diploma or equivalent required; Associate's Degree preferred.
- 3-5 years of experience as an Administrative Assistant or in a similar role, such as the office of an elected official or senior manager in a national organization, preferably in the Washington, DC area.
- Strong proficiency in Microsoft Office Suite or Google Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines. Experience using Asana is a strong plus.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills with a customer service mindset.
- Ability to work independently and as part of a team.
- Discretion and ability to maintain confidentiality.
- Experience working in a fast-paced environment.
- Experience in the labor movement, government, or non-profit sector is a plus.
Compensation and Benefits
The salary range for this position is $65,000 – $75,000, and any offer will be determined based on a candidate’s skills and relative work experience. Any offer of employment is contingent upon the successful completion of a background check.
