Executive Assistant / Scheduler

The National Association of Letter Carriers (NALC) is seeking a highly organized and detail-oriented Executive Assistant/Scheduler. This position plays a vital role in supporting executive daily operations by managing calendars, coordinating travel, and facilitating meetings. This position demands strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment.
Key Responsibilities:
Calendar Management:
- Maintain and update calendar, scheduling meetings, appointments, and events.
- Prioritize and manage competing requests and deadlines effectively.
- Coordinate scheduling internally and externally.
- Send out meeting invitations, reminders, and confirmations.
- Manage and track meeting agendas and materials.
Travel Coordination:
- Plan and book travel arrangements, including flights, accommodations, and transportation.
- Prepare travel itineraries and provide real-time updates as necessary.
- Handle travel logistics, including visas and travel documents.
Administrative Support:
- Manage email correspondence and phone calls.
- Prepare documents, reports, and presentations as required.
- Coordinate various logistics in office under the direction of the Chief of Staff.
- Handle confidential information with the utmost discretion.
Meeting Organization:
- Identify and secure meeting space and logistics, ensuring necessary equipment is available.
- Coordinate with meeting participants to ensure smooth logistics.
- Prepare for meetings by gathering necessary materials and setting up the meeting space.
- Assist in planning various events as directed
Other Duties:
- Assist with research, data entry, or other administrative tasks as needed.
- Provide support as needed to other executive assistants and headquarters staff.
Skills and Qualifications:
- Strong organizational skills and meticulous attention to detail.
- Proficiency in calendar management software and general office applications.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and manage time effectively.
- Strong typing and computer skills.
- Experience with travel booking and logistics.
- Ability to maintain confidentiality and exercise discretion.
- Professional demeanor and a positive attitude.
- High school diploma or equivalent; some college education or relevant experience preferred.
This position is essential for ensuring the smooth operation of executive functions and contributes to the overall efficiency of the organization.
