Political Administrative Liaison

Purpose:
The Service Employees International Union (SEIU) Illinois State Council (State Council) joins more than 150,000 members who power a wide variety of industries across the region, including: janitors, healthcare workers, childcare workers, and public employees across Illinois.

Role Purpose
The Political Administrative Liaison will provide professional and administrative support to the Executive Director and oversee assigned activities of the locals. This role involves managing projects, offering essential administrative support, and making informed decisions on behalf of the council. Additionally, the Liaison will assist in the implementation and administration of departmental initiatives to ensure efficient operations and strategic alignment. Their responsibilities also include, but are not limited to:
- Establishing a strong foundation of engaged members who actively participate in local political campaigns and community initiatives in which the union is involved.
- Managing and adhering to timelines for compliance paperwork submissions related to audits, processing check requests, coordinating and scheduling various events for members and local affiliates, and overseeing content posting on various social media platforms.
- Representing (SEIU) Illinois State Council (State Council) by attending council meetings, advocating for members' interests through lobbying efforts, and providing support for other departmental initiatives as needed.
Duties and Responsibilities:
Performs a wide range of duties which may vary according to departmental needs. Examples include:
- Assist Council Director and team on multiple department activities and projects.
- Assist with running electoral program for all city, county, and state races.
- Assist in moving the union’s agenda with local politicians.
- Work with Member Political Organizers in the region.
- Coordinate with campaigns for individuals endorsed through the Council PAC, as well as develop and coordinate field plan for the Council’s participation.
- Take on and manage the administrative aspects of the department (Including but not limited to team calendars & scheduling, staff meetings, compliance, travel arrangements, check requests and Record keeping.
- Understand policies, procedures, and enforcement as applicable to the Council, Staff, and members.
- Track and reconcile budgets for council activities, projects, and events in alignment with resource stewardship.
- Liaison between the Council and HR for members assigned to department either as interns or lost time work.
- Plan and assist all aspects of meetings; arranging logistics, take detailed notes, and distribute minutes and follow up actions to appropriate individuals/entities.
- Plan events assigned to the Council and union; as coordinator or collaborator and creation of event budget.
- Assist in preparation & coordination of departmental reporting & presentations for across union, executive board, and leadership team.
- Liaison for Director and Locals management team for union priorities and projects, as assigned.
- Act as Communication Liaison and Social Media management
- Creating, updating, and maintaining electronic files, forms, contracts, & correspondence for Department & Director(s) per union policies & government compliance.
- And other duties as needed.
Scope and Nature of Supervision:
The Political Administrative Liaison must be able to organize their time and develop and carry out plans with minimum supervision. Success includes having a can-do spirit and being able to receive direction from and interact with their immediate supervisor and others, as necessary. The Political Administrative Liaison must be able to lead a project from start to completion and collect information and data and be able to make assessments and recommendations to Director(s) and keep Director included on all such matters.

Working Conditions:
The Political Administrative Liaison is expected to be available during the work week (M-F) and may be required to occasionally work long and irregular hours and to work on weekends and holidays when necessary. Travel may also be required within our geographies to events as needed.
Key Qualification Criteria:
The ideal candidate will have at least 2 years of experience in a non-profit setting, and equivalent experience in administrative and operational activities. They will also demonstrate the following knowledge, skills, and qualities:

- Working knowledge and understanding of labor, political and community issues impacting working people.
- Ability to work in a multicultural and diverse work environment.
- Bachelor’s Degree (B.A. / B.S.) or equivalent administrative and operational experience.
- Ability to work independently, think creatively, time management, and take initiative.
- Maintain confidentiality on sensitive issues regarding staff and organization.
- Excellent organizational skills to manage and prioritize work subject to deadlines in a dynamic and changing environment, as an individual and as a member of a team.
- Effective writing skills including the ability to synthesize information into clear, concise messages both for analytical reports and executive summaries.
- Exceptional verbal communication including the ability to relate well with others and ability to adapt style as needed to all levels of the organization.
- Intermediate to Advanced knowledge Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Internet.
- Demonstrated Ability to create spreadsheets for analysis and reports for presentations.
- Ability to learn and adapt to new and on-going changes in technology.
- Specific department knowledge, and/or experience with HR policies, labor law, health and welfare benefits, and budget management are beneficial
- Good and ethical judgment. Willingness to take initiative, to work with a team.
Preferred Qualifications - Candidates with one or more of the following are preferred:
- Bilingual English/Spanish is a plus.
- Experience posting content on Social Media platforms (TikTok, Facebook, Instagram, etc.)
- Specific department knowledge, and/or experience with HR policies, labor law, health and welfare benefits, and budget management are beneficial
- Bachelor’s Degree (B.A. / B.S.) with a focus in Political Science or Business Administration or equivalent political administrative experience.
Salary and Benefits:
Target compensation: $68,010 – $72,091. Benefits included.
