The Special Assistant serves as the right hand to the President, tracking incoming inquiries and requests, maintaining a strict calendaring system, and managing all logistics and travel itineraries, briefing meetings, coordinating details for all speeches and events the Labor Federation attends.
The California Federation of Labor Unions represents over 1,300 affiliate unions in California that collectively represent 2.3 million union members in trucking, retail, hospitality, and other service sector jobs, janitorial, construction, health care, local and state government, education, arts and entertainment, warehousing and logistics, manufacturing, and a variety of other sectors.
DUTIES & RESPONSIBILITIES
- Maintain the President’s calendar and travel arrangements, provide daily reports and real-time updates on scheduling developments;
- Track, present, and respond to incoming meeting requests in a timely manner;
- Gather and coordinate meeting logistics for all internal and external meetings, speaking engagements, events, conferences, etc.;
- Provide staffing support to the President at events and meetings throughout the state;
- Draft and distribute communications on behalf of the President;
- Maintain consistent communication with Federation staff around the President’s meetings and events;
- Monitor and respond to the Federation’s incoming inquiries and requests via mail, e-mail, and phone;
- Track and complete regular expense reports and mileage reimbursements;
- Transcribe and take minutes at specified Federation meetings;
- Support the Federation’s operations with filing, clerical work, and administrative support;
- Assist with special projects and events, including updating the Federation’s database, supporting event planning, assisting and responding to requests from affiliates and central labor councils;
- Use sound judgment when handling sensitive and confidential information.
REQUIRED KNOWLEDGE AND EXPERIENCE
- Ability to meet deadlines and excel in high-pressure work environments while maintaining thoroughness, accuracy, and keen attention to detail;
- Strong time management and organizational skills, ability to work independently and quickly adapt to changing circumstances;
- Ability to plan ahead and anticipate potential obstacles, immediately identify and flag problems that arise, and proactively respond and demonstrate resourcefulness;
- Excellent e-mail etiquette and written and verbal communication skills;
- Strong interpersonal skills and ability to build relationships and establish clear lines of communication with individuals inside and outside of the organization;
- Ability to maintain a high level of confidentiality, discretion, and political judgment;
- Proficiency in Microsoft Office and Google Suite;
- Prior experience working in or knowledge of the labor movement is a plus, as is prior experience providing scheduling and administrative support for a high-level principal or executive officer in an organization.
SALARY AND BENEFITS
The hourly range for this position is $41.60 to $43.71 ($86,528 to $90,916 annual salary), dependent on skills and prior experience. This is a union job represented by Office and Professional Employees International Union Local 29, AFL-CIO. Includes full family medical, dental, and vision benefits and a defined-benefit pension plan.
WORK ENVIRONMENT
The Special Assistant is expected to report to the President and Chief of Staff. Working in-person is required, location in California is flexible—Sacramento, Oakland, Los Angeles, or San Diego preferred. Travel to Sacramento and other areas of the state is required. Driver’s license and access to a car is required to perform essential duties of the job.
The Special Assistant is expected to report Monday through Friday, 8:00 AM to 5:00 PM (40 hours per week). Some evening and weekend work is required.
