Position Description:
The Human Resources Generalist assists the Director and Assistant to the Director in daily administration of human resources policies, procedures and systems. Performs a large volume of administrative duties pertaining to new and existing employees. Provides assistance on projects or programs as assigned by the Director or their designee.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following. Other duties may be assigned. This list is not exhaustive and may be supplemented.

  • Assists with the recruitment activities to find qualified and competent candidates to fill open positions through the administration of job-posting procedures and outside recruitment of applicant in compliance with bargaining unit contracts, federal and state EEO regulations as well as UFCW policies and procedures. This includes connecting with the outside staffing agencies to find temporary assistance.
  • Schedules new employee orientations.
  • Performs administrative and general administrative duties in a deadline-oriented work environment for the Director, which includes finalizing correspondence highly confidential in nature regarding, but not limited to, internal employee movements, separations from employment, other employee status changes, as needed, and membership pin letters. Maintains labor law posters for International headquarters building and region offices.
  • Creates advanced document processes such as organizational charts, presentations, reports, spreadsheets and other documents using specific software such as Word, Excel, PowerPoint and other relevant software.
  • Creates efficient and creative ways to track of probationary periods related to field and Headquarters bargaining unit employees and confirms that related forms and job descriptions are sent to Directors.
  • Edits, proofreads and disseminates staff policy guides, travel and expense policies, and other related documents as needed.
  • Maintains the UFCW Learning Center Calendar and manages the scheduling of various training programs. Coordinates with the Information Technology Department to ensure employees receive training in applicable software programs as needed. Manages the UFCW LinkedIn Licenses.
  • Communicates with the Director on relevant matters and contributes to team effort by accomplishing related results timely, efficiently, and accurately. Provides regular activity reports to the Director.
  • Plans, develops, and implements record management and file retrieval systems to standardize filing, protect historical records and facilitate information retrieval. Creates and maintains personnel files and stays in compliance with the UFCW Official Records Retention Schedule.
  • Provides assistance on projects or programs created, developed, and/or implemented by the Director as needed.
  • Develops and maintains courteous and effective working relationships with employees at all levels of the organization as well as representatives of external organizations.
  • Maintains professional and technical knowledge through a variety of resources, including state-of-the art human resources software applications.
  • Maintains up-to-date desk procedures for the position. Provides back-up where needed in the Human Resources Office.

QUALIFICATIONS:

Education and/or Experience
Four years of HR related experience. A good understanding and knowledge of human resources systems. Knowledge of employment laws including FLSA, FMLA, ADA, EEO and NLRA required. Working knowledge of collective bargaining agreements administration is preferred. Thorough knowledge of the organization's structure, policies and procedures is preferred. Minimum three years of administrative or secretarial work experience required.

Computer/Software Skills
Advanced spreadsheet and word processing skills are required. Data entry skills and database experience are required. Highly developed technical skills are needed to learn or instruct on new or updated software.

  • Keyboarding: 65 wpm.

Communication Skills
Strong oral and written communication skills. Good listening and interpersonal skills. Ability to professionally compose correspondence, spell correctly, use proper grammar and punctuation, and format documents. Must have the ability to comprehend rules, policies, and procedures, and the ability to communicate them to others in a professional and tactful manner. Ability to read and analyze government regulations, bargaining unit contracts, and UFCW policies and procedures to ensure compliance.

Other Knowledge/Skills/Abilities Required
Demonstrated ability to perform administrative duties of a highly responsible and confidential nature while exercising a high degree of discretion and initiative. Capable of handling multiple priorities with frequently overlapping deadlines.

The individual must be accurate, timely; detail oriented and respect the strictest confidentiality concerning employee information and organizational records. Must be able to work under pressure. Must be able to work independently or as part of a team. Advanced organizational skills and follow through on multiple tasks and matters is essential.

Must have a service-oriented demeanor and be innovative and participatory rather than reactive. Ability to add, subtract, multiply, and divide in all units of measure. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to define problems, collect data, establish facts, and draw valid conclusions.

Job Demands
Ability to organize time efficiently and work quickly and accurately in a demanding, deadline-oriented and confidential work environment. Long and irregular hours are occasionally required. Numerous telephone calls from various levels of field and headquarters staff and external contacts must be handled tactfully and expeditiously.

Working Conditions
The work is performed in a normal office environment. The noise level in the work environment is usually moderate.

Physical Demands
The position involves, but is not limited to, written and oral communications skills, use of computer keyboard, close vision, sitting for long periods, stooping, bending and reaching.

Compensation:
Salary Range: $59,585 - $74,632.
