Secretary
Based in New Britain, CT
PURPOSE:
This position is responsible for independently providing both office administration and the full range of secretarial support functions for a work unit. The focus of the position is on administrative activities requiring an advanced level of problem-solving, interpersonal contacts and accountability. Responsible for performing the full range of secretarial support functions.
SUPERVISION RECEIVED:
Performs basic secretarial tasks independently; works under the direction of Leadership on more advanced or complex tasks or assignments.
EXAMPLES OF DUTIES:
- Working knowledge of Microsoft platform (Word, Access, Outlook, and Excel). and other automated equipment. Composes and formats a full range of correspondence, (e.g., standard replies and acknowledgment letters), reports, contracts, drafts, flyers from rough drafts and notes. Proofreads for accuracy, completeness, and content. Edits using knowledge of grammar, punctuation, and spelling.
- Accurate and timely data-entry and scanning of membership applications.
- Assists in the design and implements office filing systems. Organizes and maintains files. Maintains, reviews, updates and copies manuals and reference materials.
- Scans correspondence, organizes, and groups related materials. Reviews, routes, and prioritizes mail. Make copies of correspondence, reports and other materials as needed.
- Compiles information from standard sources and prepares data reports (e.g., number of grievances filed to arbitration during month).
- Greets and directs visitors. Answers phones and takes messages. Answers questions requiring knowledge of terminology, organization, supervisor’s responsibilities (e.g., appropriate referrals, general purpose of the unit).
- Orders and maintains an inventory of supplies and equipment.
- Completes, processes, and maintains paperwork for purchasing (orders, requisitions, and invoices). Maintains meeting room calendars. Arranges and coordinates meetings (including participants, space, and equipment).
- Performs related duties as required.
MINIMUM QUALIFICATIONS:
Education and Experience:
High school diploma and five (5) years experience in clerical and secretarial office support work. Education beyond high school may be substituted for the experience requirement on the basis of fifteen (15) semester hours equaling one-half (1/2 years) of experience.
Knowledge, Skill and Ability:
Considerable knowledge of office systems and procedures; mastery of proper grammar, punctuation, and spelling; knowledge of business communication and basic math; interpersonal skills; ability to schedule and prioritize office workflow; ability to operate office equipment which may include computers, word processors, copiers, fax machines or other automated equipment; ability to take notes; ability to type at fifty (50) words per minute.
