Office Manager
Based in Northern Virginia
Job Purpose
The Office Manager oversees the day-to-day operations and delegates responsibilities among staff to ensure the smooth operation of the organization.

Duties and Responsibilities
Supervisory Responsibilities:
- Assigns and regulates clerical and secretarial functions.
- Delegates responsibilities and workload among the administrative staff.
- Determine the working conditions of the employees on staff.
- Evaluates and manages the performance of administrative staff and plays a crucial role in their promotion.
Recruitment and Training:
- Determine when new staff are needed and works to select and recruit new candidates.
- Train and orient the administrative staff in the team’s procedures, and equipment.
- Devises training programs for the employees and plans for such sessions to be conducted.
Maintain Office Records:
- Design filing systems and ensure that these systems are up to date.
- Establish procedures for maintaining records.
- Maintain the office budget and record all expenses.
- Ensure that the members’ files are up to date and secure.
- Ascertain the transfer and disposal of records as per the retention schedules and policies are carried out effectively.
Role with the President:
- Holds meetings with the President to review performance of the company and the staff.
- Deliver reports and presentations regarding the finances and the working of the office to the President.
- Involved in the meetings that the management conducts about the organization's policies and the steps that it plans to take for its strategic development.
Other Responsibilities:
- Handling member complaints and inquiries including dues disputes and benefit issues.
- Liaison between the President, Treasurer, and outside auditor / bookkeeper for the accounting of monies and other financial matters.
- Oversees and implements all information technology and membership databases for the organization.
- Familiar with the annual audit process and acts as a resource for financial inquiries. Manages company issued credit cards.
- Manages third party payroll while overseeing time and attendance.
- Acts as a point of contact between Fairfax County Public Schools monthly payroll and membership deductions.
- Coordinate and organize member benefits: Gift certificates, theme park tickets.
Qualifications
Education:
- Bachelor’s Degree in Business Management or Accounting.
Skills:
- Interpersonal skills that include positive attitude, greeting members, and engaging in teamwork.
- Knowledge of Microsoft applications.
- Maintain spreadsheets.
- Communication includes but not limited to phone calls and electronic mail.
- Bookkeeping, Invoicing, Budgeting, and Accounting.
- Required to handle and process all payroll.
- Logical thinker.
- Multi-tasker and problem solver.
- Time management.
- Organized.
Working conditions
The Office Manager works in the FCFT office but may attend meetings outside the office. These meetings include school visits, workshops, higher education, and other job-related issues.
Special working conditions may cover a range of circumstances from regular evening and weekend work, attending conferences and school board meetings, and so forth.
Physical requirements
Position requires the ability to lift 50 lbs.
Direct reports
All executive and/or administrative staff.
SALARY AND BENEFITS:
The salary for this position is $100,000. Benefits include paid health benefits, dental benefits, paid time off and expense reimbursements.
