Position Description: The U.S. Payroll Staff Accountant processes U.S. payroll and prepares financial reports by applying accounting principles within the Accounting Department. They handle various payroll functions, ensuring compliance with both U.S. and Canadian payroll regulations.
Duties and Responsibilities:
The Payroll Staff Accountant is responsible for handling all U.S. payroll functions. Key responsibilities include:
- Payroll Processing:
- Process biweekly U.S. payrolls and prepare checks for distribution.
- Prepare payroll entries, process related payroll tax, benefit, and deduction forwarding and reporting.
- Process off-cycle payroll checks and wire transfers.
- Handle payroll inquiries, analysis, and necessary correspondence.
- Maintain payroll files and store records as needed.
- Prepare biweekly payroll entries for U.S. payroll.
- Compliance and Reporting:
- Maintain current knowledge of U.S. and Canadian payroll rules and regulations.
- Prepare various payroll-related reports.
- Prepare annual earnings statements and tax forms for distribution, including reconciliation to the general ledger.
- Prepare U.S. salary verifications.
- Process monthly and annual U.S. workers compensation returns.
- Prepare various tax returns and reports.
- Reconciliation:
- Reconcile payroll deduction accounts.
- Prepare monthly U.S. payroll account bank reconciliations.
- Reconcile U.S. payroll clearing accounts.
- Assist with the reconciliation of Schedules 11 and 12 of the LM2 report for payroll-related accounts.
- Backup and Support:
- Backup the processing of Canadian biweekly payrolls and monthly annuitant payrolls.
- Special Projects:
- Prepare annual automobile schedules for U.S., including answering questions and processing adjustments.
- Assist with special projects and reports as needed.
- Confidentiality:
- Maintain confidentiality of UFCW records and financial information.
- Additional Duties:
- Supplement the listed duties as required.

Education and/or Experience
- Bachelors’ degree in Accounting, or Associates Degree in Accounting with five years related progressive experience or 7 years of related progressive accounting experience including reconciliation experience. Payroll experience is preferred.
Computer/Software Skills
- Strong spreadsheet experience is required Familiarity with ADP and UKG payroll software is preferred. Familiarity with Solomon and SAGE Intacct accounting software is preferred.
Communication Skills
- Effective and efficient oral and written communication skills.
Other Knowledge/Skills/Abilities Required
- Ability to quickly comprehend Canadian and U.S. federal, state and provincial payroll tax law to ensure compliance with various regulations.
- Ability to accurately process payroll and related filings in a fast-paced, deadline-oriented and confidential environment.
- Strong quantitative skills are required; ability to perform complex account reconciliations.
- Strong organizational skills and attention to detail are a must.
- Ability to work independently and as part of a team.
- Must be able to maintain strict confidentiality of sensitive UFCW records and financial information.
Working Conditions
The work is performed in a normal office environment. The noise level in the work environment is usually moderate. The work atmosphere is fast-paced and deadline-oriented.
Physical Demands
The position involves, but is not limited to, written and oral communications skills, use of computer keyboard, close vision, sitting for long periods, stooping, bending and reaching.
Compensation:
Salary Range: $59,585 – $74,632
