Office Manager

Based in Minneapolis, MN

SEIU Local 26’s member leadership has adopted an aggressive internal organizing and representation program that includes recruiting and developing worksite leaders, building workers' political power, and strongly representing our members through direct action and organizing.

The Office Manager will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency and safety, in areas including finance, dues, data, and Human resources. The Office Manager will handle a wide range of administrative and executive support-related tasks and is able to work independently.

Finance Related Key Responsibilities:

  • Work under the Operations Director in developing and implementing financial plans, budgets, and forecasts aligned with the union’s strategic objectives and guidelines to ensure transparency and accountability.
  • Oversee day-to-day financial operations, including accounts payable/receivable, payroll, and financial reporting.
  • Ensure accurate and timely financial reports to be provided to leads for the general executive board and other relevant bodies.
  • Ensure compliance with all relevant regulatory requirements and reporting standards.
  • coordinate the annual union audits and manage relationships with auditors and regulatory bodies.
  • Handle basic HR functions, including staff union information requests, support officers in grievance process and staff union bargaining as needed/directed by officers
  • Establish filing systems, document retention policies, and other organizational systems.
  • Oversee the maintenance and organization of office facilities.
  • Foster a positive organizational culture that values diversity, inclusion, and mutual respect.

Dues and Data Related Responsibilities:

  • Some specific duties shall include but not be limited to managing (mainly) Excel sheets and conversion to CSV for employer files for uploads to a web-based member dues platform, tracking data received by employers. Identify and correct any data problems. Work with employers in and outside contracts to collect information. Identify future needs and contracts to improve data collection. Create accurate and timely reports that meet the organizational mission and goals. Investigate and implement dues audit procedures. Ability to spot and work with other departments in the organization and contractors to make database improvements.
  • Overseeing our membership dues processing and member database
  • Working with employers, members, and organizers to track information
  • Upload and process dues deductions, upload and process COPE deductions and assist in organizing efforts
  • Provide data-driven solutions to solve organizing problems.

Qualifications:

  • Accuracy in tracking data and strong attention to detail
  • Maintenance of membership data policy and procedures in a secure and confidential appropriate manner
  • Ability to train other staff on policies and procedures related to data
  • Design, test and implement automation of manual tasks such as label and report requests
  • Prioritize projects based on the program of our union and develop and maintain an IT plan for improvements, staff training, new projects, and problem-solving
  • Work and develop relationships in a collaborative manner to solve problems both inside the organization and externally
  • Project Management skills
  • Ability to be inclusive and create equity in your everyday work for people of equity-seeking communities including women, racialized and Indigenous persons, persons with disabilities, and persons of all sexual orientations and gender identities/expressions
  • Other duties as necessary to win as part of a movement of working people, and as assigned and actively participate in other union activities, political organizing (that may include canvassing/walking neighborhoods) and solidarity actions

Education and Experience:

  • Strong knowledge of financial management principles, practices, and regulations.
  • Excellent analytical and problem-solving skills with the ability to interpret complex financial data and work with outside accountants.
  • Strong leadership and interpersonal skills, with the ability to communicate effectively and build relationships across all levels of the organization.
  • Commitment to the mission and values of SEIU within the labor union movement.
  • Strategic thinker with the ability to drive change and innovation.
  • Proficiency in accounting software (e.g., QuickBooks) and MS Office, particularly Excel.
  • Proven office management, administrative or assistant experience.
  • Knowledge of office management responsibilities, systems and procedures.
  • Proficiency in the use of PC and or Laptop.
  • Proficient knowledge of Microsoft and Google products
  • Should be an independent, detail-oriented, creative thinker
  • Effective communicator, strong verbal and written communication skills
  • Excellent time management skills and ability to multi-task and prioritize work.

  • Preferred:
    • Bilingual Spanish
    • Bachelor’s degree in finance, Accounting, Business Administration, or a related field; or proven experience in a senior financial management role, preferably within a labor union or nonprofit organization

PHYSICAL REQUIREMENTS:
The position is based in Minneapolis, MN. Work is generally performed from an office setting or other location to complete the required assignments of the position. Long and extended hours, weekend meeting support, and a minimal amount of overnight travel may be required.

SEIU Local 26 staff enjoy top-notch benefits including comprehensive health benefits, major medical, dental and vision for employee and eligible dependents, competitive salary from $65,000-85,000 per year depending on experience and qualifications, generous holiday and vacation policies, and participation in the SEIU Pension Fund. This is an exempt position.
