About PWC
The Pilipino Workers Center of Southern California (PWC) aims to secure the dignity and safety of the Pilipinx community in Southern California and build labor leaders in the domestic worker industry. PWCSC, founded in 1997, has been organizing homecare workers for social justice, economic justice and dignity for more than two decades, and has offices and operates in Los Angeles County, Orange County, and San Diego. PWCSC also operates a national anti-labor trafficking program that serves survivors in 26 states. Originally founded to address the substandard working conditions and wage theft experienced by mostly immigrant Pilipinx homecare workers in Southern California, PWC builds power to advance fundamental shifts in the care economy that benefit the immigrant domestic and care workforce as an affiliate of the National Domestic Workers Alliance and the California Domestic Worker Coalition.

Job Summary
The Executive Assistant (EA) will provide complete administrative support to the Executive Director and Leadership Team. The EA shall manage multiple calendars with high calendaring demands; organize in-person and virtual meetings; quickly learn about the team's culture and workflow; and assist in the planning and execution of events; act as a liaison for staff and the Executive Director and Leadership team, as needed, providing sensitive, clear, and timely information to ensure smooth communication within the organization. The EA will be part of the Organizational Sustainability team, providing support to the administrative, finance, HR, and resource development teams, as needed. You will be able to create or support systems, multitask, prioritize incoming requests, work independently without close supervision, and assist with special projects as needed. You will be in contact with people ranging from entry-level to executive level positions, and you may be exposed to sensitive information that requires discretion and good judgment. This is a full-time, exempt position with hybrid work arrangement.

Duties & Responsibilities:

  • Manage the Executive Director’s daily email correspondence and other communications, including flagging priority threads, creating initial draft responses, and ensuring timely responses
  • Manage the Executive Director’s calendar, work out calendar conflicts and handle appointment requests
  • Coordinate the Executive Director’s travel arrangements, expense log and reimbursements
  • Consistently update ED contact list and directory
  • Organize important documents for the Executive Director within cloud and on-site storage for easy access
  • Liaise with external partners and public speaking agents to execute and support the Executive Director’s public engagements
  • Coordinate and collaborate high priority program follow ups with members of the Management team and ED
  • Attend meetings to record notes as requested and support the Executive Director with follow-up, which will include coordinating with staff and partners to execute
  • Support the Management Team on behalf of the Executive Director as needed, including logistics, staff coordination, and aforementioned duties
  • Collaborate with the Executive Director in order to maximize time management and ensure strategic priorities are consistently met in a complex and rapidly shifting environment
  • Field, assess, and respond to requests and inquiries from the public and from staff
  • Support the Management Team’s data management and drive storage
  • Supporting special projects and initiatives as directed by the executive, including research and data analysis
  • Provide support for various all-staff events and administrative initiatives. Participate in the execution of special events as needed

Desired Skills/Experience

  • Ability to commute and work on-site for 2-3 days in the office per week
  • High school diploma OR equivalent certificate (i.e., the California High School Proficiency Examination (CHSPE) or the General Educational Development (GED)
  • Two (2) years of related office administrative and/or secretarial experience, which must have included providing office support to executive management staff and administering or coordinating office services operations
  • Knowledge of principles and practices of office management and organization
  • Knowledge of workflow, administrative processes, and operating procedures necessary to support the operations of a Management Team
  • Knowledge of and skill in advanced word processing, spreadsheet, email, presentation, and web content management software applications
  • The candidate must have knowledge of and commitment to social justice, workers and immigrant rights.
  • Knowledge of English composition, spelling, grammar, punctuation and basic understanding of financial concepts
  • Proficiency in Microsoft Office Suite, Google Suite, Zoom, and Canva
  • Ability to learn Monday.com
  • Good skills in keyboarding
  • Skill in information screening, consolidation, and routing
  • Ability to support a comprehensive administrative support program by the Organizational Sustainability team
  • Ability to use discretion and independent judgment in evaluating information of sensitive and confidential nature
  • Ability to foresee next steps and consequences, and exercise sound judgment in the day-to-day decision-making and processes
  • Ability to use tact in dealing with staff, stakeholders, and the public and to maintain effective working relations and communications with others
  • Ability to independently prepare complete and concise reports and correspondence
  • Ability to effectively coordinate, perform, and complete multiple duties and assignments concurrently and in a timely manner
  • Ability to plan, direct, coordinate, and evaluate the work of others
  • Conduct logistical support for various mobilization and organizing activities
  • Support in staff meetings, as needed
  • Other duties as required

Other Requirements:
May require working on weekends on some occasions, must be able to travel amongst different PWC sites: PWC headquarters in Los Angeles, PWC offices in Vista, Chula Vista and San Fernando Valley.    

Employment Information:
Full-time, exempt position with hybrid work arrangement. Annual salary range: $66,650 – $78,000, commensurate with experience.
