Salary Level: Part-Time

Reports To: National Business Agent/Regional Coordinator

FUNCTIONAL PURPOSE:
Performs a variety of administrative, clerical, and other related duties as assigned by the officer responsible for the office.

DUTIES AND RESPONSIBLITIES include, but are not limited to the following. Other related duties may be assigned.

  • Answer the telephone and inquiries. Distribute calls appropriately and take messages, as needed.
  • Process mailings and open, date stamp and distribute incoming mail.
  • Prepare correspondence.
  • Input into the computer information pertaining to grievances.Maintain status of each grievance; in addition, send appropriate notices to the involved parties and create hard copy folders of grievances.
  • Assist National Business Agents with administrative support for all aspects of grievance files and procedures.
  • Maintain filing system and assist in maintaining office supplies.
  • Make the necessary travel and hotel arrangements for the officers and process officer’s expenses.
  • Make copies of correspondence or other printed matter.
  • Assist locals and representatives with information and status updates.
  • Assist with preparation of materials for meetings, trainings and conventions, as needed, and other special projects.

EDUCATION AND/OR EXPERIENCE:

  • Graduation from high school or equivalent.
  • One-year secretarial experience.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Ability to type 45 WPM.
  • Ability to utilize a computer with Microsoft Office programs, including but not limited to Word, Excel, PowerPoint and Outlook, as well as other office equipment such as copiers, scanners, fax, etc.
  • Ability to understand and carry out oral and written directions and tasks following established procedures without assistance as well as be self-motivated.
  • Must be organized and have the ability to perform duties with neatness and accuracy.
  • Individual must be dependable and responsible with exemplary attendance and punctuality.
  • Ability to establish and maintain effective working relationship with APWU personnel, members, and general public.
