Program Assistant
Training and Grants Department

Based in Washington, DC

 

POSITION: Program Assistant, Training and Grants Dept.
HOURS: 9:00 AM – 5:00 PM
LOCATION: Washington, DC

The International Brotherhood of Teamsters is seeking a highly motivated Program Assistant to provide technical and administrative support to the Worker Training Program in the IBT Training and Grants Department. The position reports to the Assistant Director and the Program Manager.

Technical and administrative responsibilities include:

  • Assist with the operation of the Online Learning Management System and Access Databases.
  • Data entry of class documentation and other paperwork on a weekly basis.
  • Utilize Microsoft Office Suite, including advanced Excel skills for creating visual reports through pivot tables, pie charts and other tools.
  • Respond to emails and telephone calls from Teamster members and the general public regarding the Grants Program.
  • Support the coordination of workflow including resolution of questions and concerns.
  • Assist with scheduling and facilitating virtual classes including troubleshooting Zoom issues.
  • Use social media platform and other electronic-based platforms to market and promote the training programs.
  • Prepare and organize all project and program files; maintain accurate records of grants documents.
  • Edit and prepare manuals and paperwork for classes; ship manuals and documents to trainers and/or students.
  • Assist students with registering for classes; respond to students’ inquiries regarding classes, certification cards.
  • Assists in the preparation of PowerPoint presentations for meetings and trainings.
  • Generate reports to assist in the preparation of grants applications, progress reports, quarterly reports, and close-out reports.
  • File and organize records of grants documents and training materials.
  • Works with finance staff to ensure proper and up-to-date documentation is gathered and/or received for program.
  • Utilize the Internet as a basic research tool for information gathering.
  • Prepare training materials for Section 508 Compliance.

Qualifications:

  • Proficiency in Microsoft Access, Microsoft Office Suite, and web-based learning management systems.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
  • Ability to work independently to meet deadlines, strong communication and interpersonal skills
  • Excellent written and verbal communication skills.
  • Willingness to collaborate in a team environment and the ability to work independently.
  • Proficient in using various technical computer software.
  • Ability to perform well under tight deadlines.
  • Union and/or Grant experience is preferred.
  • Maintain a professional demeanor and appearance.
  • Effective time management skills.
  • Ability to travel as necessary.
  • Bilingual (Spanish) speakers or technical writers are strongly encouraged to apply.

Compensation:
The starting salary range is $55,000.00 to $70,000.00, dependent upon qualifications and experience. The IBT offers a robust total compensation package, including FICA reimbursement, 100% employer-paid health & welfare plan, pension, 401(k), FSA, and vacation and sick leave.”
