Seeking a motivated individual with a minimum 5 years of experience working in health insurance and/or the health industry, preferably for the public or private sector. The Assistant Benefit Fund Administrator will provide support to the Fund Administrator with the day-to-day operations of a multi-employer supplemental benefit fund for the Doctors Council Union members and their families. You will play a crucial role in supporting the administration and management of employee benefit programs within Doctors Council. Working closely with the Benefit Fund Administrator, you will be responsible for ensuring the smooth operation of various benefits, retirement plans, and other employee Welfare Fund programs. Your role involves assisting in the coordination of benefits enrollment, addressing employee inquiries, assist doctors in navigating the benefit enrollment processes, providing guidance on available options as well as maintaining accurate records, and ensuring compliance with regulatory requirements.

This position is full time at our office in lower Manhattan although a flexible work schedule may be considered. The candidate must be able to adapt and learn the organization’s claims processing system and other programs as used by the organization to operate effectively. Job Description:
The primary responsibility will be to process benefit claims and support the enrollment process for new hires, ensuring timely and accurate completion of paperwork and data entry. You will also be responsible for responding timely and accurately to member’s inquiries via email, phone and in writing in order to provide the highest level of service to the Doctors and their families. The ability to analyze Explanation of Benefits (EOB’s) is required as some of our benefits require coordination with primary insurance carriers as well as our third-party administrator.

You will assist in the preparation of various reports for the Funds’ accountants, auditors, attorneys and actuaries to ensure all Funds are in compliance with federal, state and local filing requirements. Ability to communicate with all levels of management, handle multiple projects and meet deadlines in a busy office environment.

Technical Requirements:
QuickBooks Proficiency:

  • Proficient in using QuickBooks for financial tracking and categorizing expenses, reporting and ability to enter and reconcile financial transactions.
  • Assist in preparing financial data for audits, ensuring that benefit-related transactions in QuickBooks align with regulatory requirements.
  • Integration and mapping of QuickBooks data fields with Excel.

Excel Proficiency:

  • Demonstrated high proficiency in MS Office but especially Microsoft Excel, including the ability to create and maintain spreadsheets, use formulas and functions, and analyze data.
  • High level of attention to detail, especially when working with data to ensure accuracy and consistency.
  • Ability to identify and rectify discrepancies in CSV files and Excel spreadsheets.
  • Proven problem-solving abilities, particularly in addressing challenges related to CSV files, Excel functions, and data manipulation.

CSV File Management:

  • Proficient in working with CSV (Comma-Separated Values) files, including importing, exporting, and manipulating data.
  • Ability to troubleshoot and resolve issues related to CSV file formatting and data integrity.

Data Analysis Skills:

  • Strong analytical skills with the ability to extract meaningful insights from data. Experience in using Excel for data analysis and reporting, including the ability to create pivot tables, macros and charts.
  • Ability to learn and adapt to new technologies and tools related to data management and analysis.
  • Stay current on advancements in Excel and CSV file management best practices.

Degree in Accounting, Business or related fields

At least five (5) years experience as a Fund Administrator required preferably in healthcare.

Salary and benefits:
Salary range is between $80K - $90K annually depending on experience. Excellent full benefit package includes 100% employer paid self and dependent medical and dental, as well as 100% employer paid defined benefit pension plan.
