Full-Time Financial Administrator / Office Manager

Based in Denver, CO

 

The Sheet Metal Air Rail and Transportation Workers’ International Association Local Union #9 Sheet Metal Workers’ is searching for Full-Time Financial Administrator/Office Manager for our Denver office. This is an in-office position.

The successful candidate must have strong organizational and communication skills, be proficient in QuickBooks, Microsoft Office, including Word, Excel and Access databases. This position demands a self-motivated and organized individual possessing great customer service skills. The candidate will be the primary point of contact for handling all union financials including payroll, income and expenses, and provide necessary administrative support to union officials.

The Financial Administrator/Office Manager is a full-time Union position with required membership in OPIEU and reports directly to the SMART Local 9 Business Manager. This position is based in the Denver area and provides support to our Denver, Colorado Springs and Grand Junction campuses.

Overview
The Financial Administrator/Office Manager is responsible for supporting the financial operations of SMART Local #9, accurately handling financial transactions, resolving discrepancies in financial statements, handling allocation of funds, assisting in tax audits and processing invoices and payroll. Additionally, the Financial Administrator/Office Manager will assist in general office management, acting as a liaison with Rehn & Associates and/or other designated third-party fund administrator to the union.

Description of Duties

  • Manage bookkeeping and budget using QuickBooks, as well as reconciliation process of all organizational income and expenses.
  • Administer payroll, accounts receivable, accounts payable and benefits.
  • Administer the organization’s bank accounts including processing transfers, paying bills, writing checks for outgoing payments, monitoring accounts for incoming deposits and wires, and financial reporting.
  • Create financial reports.
  • Experience with QuickBooks, Microsoft Office Suite, including, but not limited to Word, Excel, PowerPoint and heavy use of Microsoft Access Databases, and Adobe Acrobat.
  • Supporting the union business manager, business representatives, financial secretary treasurer, and front desk administrative assistant.
  • Oversee business renewals including, but not limited to, insurance policies, vehicle registrations, wage, and benefit increases.
  • Execute document retention and destruction.
  • Manage administrative filings and deadlines, supporting annual audit and tax preparation.
  • Manage the maintenance of office equipment.
  • Strong writing proficiency and literacy with the ability to proofread and write letters, newsletters, and other important documents.
  • Maintain personnel files and confidentiality of all pertinent employee and member information.
  • All other duties as assigned.

Qualifications

  • Verifiable work experience with two or more years in finance and operations.
  • Demonstrate proficiency with QuickBooks Desktop/Enterprise.
  • Demonstrate proficiency in multiple Microsoft applications including but not limited to, Access, Word, Excel, and all related software.
  • Experience dealing with financial information, processes, and bookkeeping.
  • Understanding of accounting principles and knowledge of accounting and budgeting processes.
  • Effective time management skills, including demonstrated ability to manage and prioritize multiple tasks and projects.
  • Excellent communication skills (oral and written), demonstrating an ability to deal with a wide range of stakeholders.
  • In-depth understanding of office management and daily operations.
  • Data management skills and proficiency.
  • Capable of working independently as well as part of a team.
  • High level of accuracy and attention to detail.
  • Real world analytical and problem-solving skills, with the ability to identify and resolve issues effectively.
  • Flexibility and responsiveness with the ability to multitask to address the organization’s needs.
  • Positive and enthusiastic attitude.
  • Bilingual is a plus.

Salary and Benefits

  • This is a union represented position.
  • This position is guaranteed 40 hours a week and is based in the Denver Metro Area.
  • Benefits including comprehensive health plan, dental plan and vision reimbursement;
  • Fully paid defined benefit pension plan with vesting after five years of employment.
  • Paid vacation, sick leave, and 8 holidays plus 1 floating holiday.
  • 401(k) plan.
  • Total wage package including benefits of $46.55 to $52.51 ($30.78 to $34.62 on the check) commensurate with experience.
