Assistant Director, Office Operations & Meeting and Convention Planning

Based in New York City, NY

This position will report to the Director of Office Operations and Meeting & Convention Planning. The Assistant Director, Office Operations & Meeting and Convention Planning will perform meeting and conference planning and office operation functions as assigned by the Director for NYSNA meetings, events, workshops, large conferences and Convention. This position will also oversee office operations of the New York City office under the direction of the Director, on-site meetings, office supplies and maintenance.

SPECIFIC RESPONSIBILITIESOffice Operations:

  • Provide supervision and direction to the Administrative Support Manager, Office Manager and
  • Contract Production Coordinator. Such supervision includes monitoring related work and providing input into yearly performance appraisal in consultation with director.
  • Oversee on-site meetings held at the New York City office. Duties will include managing room reservations, audio visual needs, logistical set up, catering orders, and all related meeting arrangements.
  • Responsible for office cleanliness and maintenance of the office and conference facilities. Includes working with outside vendors to schedule maintenance, repairs, and additional cleaning services.
  • Maintain adequate office supplies for the New York City office. Working with suppliers and vendors to manage accounts, oversee the mailing & shipping equipment. Train staff to utilize equipment and work with vendors to maintain, repair and upgrade as needed.
  • Work closely with the manager of administrative support services in establishing best practices, templates, and policies for the administrative assistants.

SPECIFIC RESPONSIBILITIESMeeting and Convention Planning:

  • Work with Meeting and Convention Planning staff completing staff requests for union wide needs throughout the day related to food, travel, and promotional products.
  • Input registrations for NYSNA events into the database and assist with the confirmation process.
  • Assist with planning and logistics of all major union events including but not limited to Convention, lobby days, rallies, strikes, conferences, etc. Such duties include but are not limited to coordinating packet production, packing, transportation, food and beverage orders, room set up with audio visual needs, hotel and travel.
  • Manage the promotional product inventory, reordering and distribution for the New York City office.

RELATED ACTIVITIES

  • Meet with the Director as needed to discuss work assignments, changes in priorities, plans for improvements, etc.
  • Participate in interview, hiring and review process for positions supervised.
  • Maintain current knowledge of overall association office policies, procedures, and practices.
  • Perform other related activities, which may be required in advancing the mission, purpose, and interest of the New York State Nurses Association.

Salary Scale of $80,000.00 - $100,000.00, depending upon education and experience levels
