Membership Records Supervisor

The Virginia Education Association (VEA) is seeking applicants for the position of Membership Records Supervisor. VEA is a statewide community of 30,000 teachers and school support professionals working for the betterment of public education in the Commonwealth. Position and Area Description:
The Membership Records Supervisor (MRS) manages the proprietary membership processing systems and data within (IMS, MRA, FRS, NEA360, JoinNow and MEX) on the state level for the Virginia Education Association. They are an expert in the generation of customized reports using the tools within the membership systems as well as Excel. The MRS directly manages, trains, and motivates the remote team of Membership Processors. In addition, they develop training materials and provide remote and/or in-person instruction and support to users of these systems on the state and UniServ levels. The MRS works directly with members and local leaders to resolve issues around membership and membership records and must have strong customer service and communication skills. Specialized computer-based training is necessary to train/teach others how to best utilize the membership system for the benefit of the organization. The MRS has and conveys an understanding that everything we do, we do for the benefit of our members. Some overtime may be required to meet deadlines or ensure timely resolutions. Must occasionally attend evening and/or weekend functions occurring in or outside the Richmond area.

Example Job Functions:

  • Acting as subject matter expert for all membership systems and processes.
  • Updating membership records as needed.
  • Identifying and resolving discrepancies within records and between systems.
  • Hosting weekly team meetings.
  • Providing remote support and/or training to staff around the state.
  • Developing training materials and conducting in-person or remote training sessions for VEA and UniServ staff.
  • Documenting procedures and procedural changes in the membership systems.
  • Assign appropriate security levels and passwords to users of the membership systems and maintain the integrity of security administration.
  • Working with accounting to reconcile credit card and EFT dues payments.
  • Processing and updating all Retired memberships.

Minimum Qualifications:

  • 5 years’ experience administering membership or customer relations database systems in a Union, Membership Association, or Hospitality environment or 2 years’ experience administering IMS, MRA, and FRS at the state level.
  • Prior experience managing a team.
  • Valid driver’s license.
  • Successful candidates will have demonstrated experience in the following:
  • Managing/supervising others
  • Improving business processes
  • Working with data systems
  • Taking initiative
  • High level of customer service
  • Strong computer skills and ability to adapt to new technologies.

Salary and Benefits:
This is a supervisory position and will be a part of the VEA Management Staff contract. Effective September 1, 2021, the salary range for supervisor positions is $85,000-$110,000. Salary is negotiable within the range depending upon the applicant’s experience and qualifications. The contract also includes an excellent fringe benefits package.
