Office Administrator

Based in Lexington, TX

 

Description: AFSCME Texas Correctional Employees Council 907 is a labor organization representing thousands of Texas Department of Criminal Justice (TDCJ) employees across the state of Texas with labor and employment matters. We are currently accepting applications for an Office Administrator. This position will assist with the timely processing of dues, membership cards, rosters, variance reports and density reports in Unionware and excel spreadsheets. This position will also be responsible for creating, reviewing, and paying invoices and payroll. The Office administrator will answer calls for Council 907 and direct members and potential members to the correct representative for their assigned area.

Primary Responsibilities:

  • Accounts receivable.
  • Account reconciliation and detail identification of errors
  • Accounts payable, including but not limited to purchasing and vendor relations.
  • Preparation of monthly bank reconciliations for multiple accounts.
  • Preparation of the semi- monthly payroll processing for employees in Texas.
  • Assist in the organization of support documentation for certain accounts including but not limited to 990 and 401K.
  • Direct contact with vendors utilizing professional skills to assist in the resolution of any issues regarding payment receipt.
  • Responsibility for the annual audit of overhead expenses, as well as assistance with the discovery and implementation of cost reductions.
  • Answering and transferring calls to appropriate Organizer/Representatives.
  • Assist in data entry.
  • Assist in the operation of AFSCME membership and dues information database.
  • Assist the tracking and distribution of Dues and Bargaining files for processing.
  • Assist employees with Insurance and 401k.
  • Input of membership and bargaining unit data.
  • Assist Leadership in preparation of data reports.
  • Create rosters, variance reports and density reports on a needed basis.
  • Create and maintain mailing lists for 9 Locals.
  • Maintain Copies of benefit flyers, membership cards and other supplies for field staff.
  • Maintain employee files to include confidential information.
  • Other duties as required.

Minimum Requirements:

  • Efficient in handling large amounts of incoming calls.
  • Experience in payroll and payables.
  • Experience with Microsoft Office; specifically Excel.
  • Experience with Quickbooks.
  • Demonstrated project management skills; ability to manage complex projects, prioritize and multi-task.
  • Ability to troubleshoot payroll/payables related problems.
  • Effective communication skills.
  • Must have the ability to relate to and work with diverse groups of people; ability to work independently.
  • Human Resource Experience a plus.

This position will be in Lexington Texas.

Physical Requirements (as required by the ADA)

  • Driving, travel (including overnight stays), temporary assignments away from home, and extended work hours. Valid driver’s license and vehicle insurance are required.
