FLSA Classification: Non-Exempt, Bargaining Unit Position
Reports to: Directors of Governmental Affairs, Production, Organizing, Education, Strategic Campaigns and the Office Manager
Supervises: None

BASIC FUNCTION
Under the direction of the Director of Government Affairs, Organizing, Production, and Education, and Strategic Campaigns. The person performs a variety of administrative support, analytical, and data entry functions including keeping an accurate record of Organizing/Salting databases. This position will work collectively with the other Administrative Assistant.

Job Skill Requirements

  • Knowledge of correct English usage, spelling, grammar, punctuation, and vocabulary,
  • Practical experience using Microsoft Excel, Word, Outlook, Teams, and QuickBooks.
  • Knowledge of basic accounting.

Requirements

  • Good analytical and communication skills
  • Knowledge of standard office practices, procedures, and equipment
  • Recordkeeping techniques; operations, procedures, specific rules, and precedents of the office. This function requires knowledge and independent judgment.
  • Communicate professionally with all employees, members, Local Unions, and vendors.
  • Compose correspondence and written materials independently.
  • Respond courteously and professionally to phone calls and electronic inquiries and assess the urgency.
  • Handle multiple projects and deadlines effectively.
  • Well-organized and accurate.
  • Good and punctual attendance.

SPECIFIC JOB DESCRIPTION

  • May process all checks for the Government Affairs Department
  • May be responsible for recording and reconciling all bank statements,
  • May be responsible for reporting to the FEC, IRS, and multiple state filings.
  • Assist with meeting arrangements to include booking hotel rooms for attendees as needed for Government Affairs, Production, Organizing, and Education, Strategic Campaigns as requested.
  • Possible assist with set-up and coverage of the PAL Booth during Conferences and Conventions.
  • Provide support to the Production Department as requested including semi-annual reports.
  • Provide support to the Education Department in preparing classroom material and completion certificates etc.
  • Track classes taken by attendees in accordance with the Constitution.
  • Assist the Organizing department with monitoring and sending emails.
  • Assist Regional Directors of Organizing and International Organizers as requested.
  • Assist with the salting process.

EDUCATION AND EXPERIENCE

  • Work requires a general educational background normally equivalent to a high school education.

WORKING CONDITIONS

Environment – Office environment; constant interruptions

Physical Abilities – Keyboarding to enter data into a computer terminal for extended periods of time; Dexterity of hands and fingers to operate a computer keyboard; Kneeling or crouching, reaching overhead, above shoulders, and horizontally and bending at the waist to store and retrieve files; Hearing and speaking to exchange information; Seeing to read various materials; Lifting light objects.
