Major Responsibilities:
The Human Resource Administrative Generalist will be responsible for the daily functions of the HR Department including budget management, annual HR calendar / project management, all HR employee reporting, job postings, employee movement/tracking, performance management and assist with benefit administration. Also, manage the HR intranet website, job descriptions, HR mailbox and participate in annual audits.
Essential Job Functions:
HR Administrative Generalist functions include but are not limited to employee file management, Annual HR calendar with deliverables, manage the HR email box, support hiring managers by scheduling Personnel Selection committee (PST) and Executive Committee (EC) interviews, ensuring new employees background checks are completed and then onboard into the payroll system, complete internal transactions form to support employee movement.
Specific Responsibilities:
- Lead the onboarding and hiring process through ADP including Day 1onboarding of new employees, coordinate Day 1 activities, follow up on outstanding documents including completion of Form I9s.
- Ensures compliance to all employment laws when it comes to new employees files and updates such an annual notice, participate in annual audits by providing appropriate employee documentation
- Responsible for all active and terminated (including vested and retirees) employee files paper and electronic files as well as new employee documentation, HR lead on semi payroll meeting by proactively preparing
- Work with field service organization on summer hiring efforts for hiring, onboarding and file management
- HR Reporting – personnel peporting, ad hoc reports, data requests, info requests, tracking employee movement and completing transaction forms
- Ensure HR Website Update & Share Point Content is organized appropriately
- Ensure all Job Description are accounted for and track any evaluation requests
- Participate in Employee Relations meetings by taking notes and with investigators
- Track HR budget and spending with monthly reconciliations
- Annual EE Notices – Discriminations & Harassment, Posters, assist Benefits Specialist with annual notices and mailings
- Manage HR Mailbox, office management of all office tools
- Performance Review Process annual and CBA Specific
- Employee Recognition, Fun Committee
- Lead projects on Records Retention and any new e-solutions
- Other duties as assigned
Qualifications:
- Proven work experience as an HR Generalist and with HR Administrative responsibilities for 3-5 plus years
- Bachelor’s degree or equivalent experience in Human Resources
- Proficiency in the Microsoft 365 suite of products
- Demonstrated ability to work as a member of a Team
- Excellent communication skills with the ability to explain technical terms plainly
- Commitment to the mission of the Massachusetts Teachers Association
- Additional certification in Human Resources such as SHRM certification is a plus
