Title: Division Assistant Administrative, Division of Nursing Health & Safety

Description: Responsible for the performance of secretarial/assistant functions primarily in support of the Nursing Program within the Division of Nursing. Works cooperatively with Associate Director(s) within the Division and is directly responsible to the Division Director.

Accountability:  The Division Assistant Administrative is directly responsible to the Division’s Director.

Responsibilities:

  • Communicates with members and other outside sources through many channels (e.g., in writing via email, by telephone and through personal contact).
  • Communicates and coordinate packet materials with MNA colleagues.
  • Types, takes dictation (if required by the Division), edits, proofreads, and able to operate office equipment related to the functions of the Division of Nursing.
  • Maintains paper files and online files including but not limited to folders stored in the MNA z-drive and recommends changes and/or revisions for the improvement of the operation of the Division of Nursing.
  • Keeps Divisional manuals current and accurate.
  • Cooperates to ensure adequate receptionist coverage.
  • Organizes/reorders assigned work and establishes appropriate priorities.
  • Completion of training on iMIS software and able to demonstrate competence when using the system.
  • Staff Division-run events to support on-site activities, including registration and other duties as needed.
  • Other duties as directed.

Qualifications:

  • Minimum five years related experience (and two years business school preferred).
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Teams.
  • Excellent written and verbal skills with spelling/grammar competencies.
  • Excellent organizational and planning skills, detailed oriented and strong time management skills.
  • MUST be able to function with minimal direction with ability to multitask and prioritize work effectively.
  • Functions effectively in a very busy (often stressful) environment.
  • Ability to help members with questions related to the Division and direct as needed to the appropriate staff for assistance.
  • Previous experience in a membership organization, specifically a labor organization desirable.
  • Able to travel on occasion as work duties require.

Benefits yearly: Full-time 8:30 a.m. – 4:30 p.m. M-F
