Administrative Coordinator II

Position: Administrative Coordinator II
Classification: Full-Time, Exempt
Location: Oakland

Position Summary:
The Administrative Coordinator II will do division planning and assignment of work; support and collaborate with the Division Director; supervise administrative staff statewide and ensure the division operations are performed in a seamless and efficient manner; interact extensively with other staff and members; lead and coordinate the union’s data systems and other technology platforms for the division. Under the supervision of the Division Director or Assistant Director, the Coordinator II collaborates and executes on the overall implementation of the division’s strategic plan.

Major Areas of Responsibility:

  • Anticipate and plan for organizational growth and development with creation and implementation of new systems, procedures and technologies in support of the organizational and division goals;
  • Supervise administrative (admin) staff statewide; provide leadership in building a service-oriented team; provide growth and development opportunities; establish standards and expectations with provisions for training; determining workloads and schedules; evaluate performance;
  • Cultivate a learning culture by coaching and mentoring admin staff to increase the capacity of the organization/division;
  • Demonstrate ability to work with confidential information;
  • Organize calendar and schedules; process and reconcile timesheets and make travel arrangements, including flights, transportation and lodging for the Division Director;
  • Lead and coordinate on campaigns for the division, including building campaigns, reports, and dashboards utilizing UHW’s data system built on Salesforce and Power BI;
  • Collaborate with top leadership and executives on campaign strategy, including holding retrospective meetings, providing campaign metrics, and identifying areas of process improvement and system enhancements;
  • Supervision and training of admin staff on data systems, campaigns, and reporting;
  • Provide the necessary support and training of the data system to the division staff to grow system adoption, including providing feedback, product enhancements, and design input to the Information Systems team;
  • Coordinate with bargaining department on bargaining and contract production for the division;
  • Coordinate with representational excellence on grievances tracker;
  • Oversee expense reports, conduct audits and monitor approval expenditure for the division;
  • Perform project research and report preparation related to the activities of the division to which assigned;
  • Acts as a resource and resolves complex problems within area of responsibility;
  • Coordinate arrangements for large events such as strikes, pickets and annual division retreat;
  • Create, update and centralize manuals to document systems, procedures and workflows;
  • Assist in special projects and performs other responsibilities as required and assigned by the Division Director.

Experience and Skills:

  • Minimum 3 years of management and supervisory experience in an office setting;
  • Demonstrate capacity to analyze needs and develop organizational systems and procedures to
  • meet them;
  • Excellent oral/written communication skills and proofreading ability;
  • Advanced skills in Microsoft programs, including Word, Excel, Power Point, Access, Outlook and Windows including understanding of relational databases and reports;
  • Previous experience with Salesforce and PowerBI a plus;
  • fluency with manipulating files among the Microsoft Office applications;
  • Capacity to manage numerous demands simultaneously with quick turnaround time;
  • Excellent analytical and judgment skills as demonstrable by the ability to assess information and evidence and act strategically;
  • Excellent time management and organizational skills; adept at dealing with conflicting/changing priorities;
  • Ability to communicate and relate respectfully with a diverse membership and staff;
  • Ability to exercise independent judgment to solve operational problems;
  • Ability to manage multiple and competing priorities and work well under pressure;
  • Excellent punctuality and attendance;
  • Bilingual skills highly desirable;
  • Able to create, plan, develop, and implement programs and systems to further Union goals;
  • Experience in union or other nonprofit environment;
  • Interest in and commitment to progressive social change;
  • Patience and sense of humor a must.

Physical Requirements:
Must be willing to travel, ability to lift up to ten pounds and able to bend and stoop.
