Senior Accounts Payable Specialist to perform finance administrative duties with specific focus on accounts payable. Non-supervisory position. Works under general supervision of the Finance Director and Senior Accountant on specific. Work is Subject to review upon completion.
RESPONSIBILITIES: All duties listed are required but not limited to and may or may not be continuously performed or ongoing at any specific time:
- Verify and assure approval process is followed prior to payment processing.
- Process and record all invoices and disbursements throughout the month at scheduled intervals and as needed.
- Assure document retention according to organizational policy.
- Verify accuracy of credit card reconciliation, obtain necessary approval from authorized personnel to reconcile accounts and process credit card payments, as established via organizational processes.
- Perform necessary steps to set up and maintain direct bill/direct pay accounts, according to appropriate guidelines.
- Perform analysis as requested.
- Verify and upload the 1099 vendor data for 3rd party processing.
- Reconcile vendor monthly statements to identify missing or over payments.
- Reconcile and process all manual payments.
- Collaborates regularly with management and non-management personnel to resolve issues and optimize efficiencies.
- Provide training and mentorship to new management and non-management personnel.
- Able to identify opportunities for improvement while focusing on efficiency, accuracy, and cost- effectiveness.
- Monitor and reconcile lost time reports, timesheets and payments for SB1085 members while working with their payroll representatives.
- Pilot, evaluate and implement technology enhancements to improve work function.
- Collaborate in streamlining approval workflows and enhancing reporting capabilities.
- Collaborate in identifying efficiencies, automations and improvements in accounting processes.
- Partner with finance team members and across the organization to maintain a high- functioning and effective department.
MINIMUM QUALIFICATIONS:
- Requires communication skills equivalent to an A.A. degree in business.
- Three to five years of work experience in an accounting department environment.
- Must be familiar with automated accounting systems.
- Familiarity with of union staff contracts a plus
- Excellent word processing skills, Excel skills.
- Ability to deal comfortably with numbers and complex spreadsheets.
- Perform effectively under pressure and with interruptions with a high degree of consistency and accuracy.
- Able to work independently with minimal direction.
- Meets all deadlines involving payment processing and reporting.
- Collaborative and customer service mindset
- Works on problems of moderate scope and complexity. Exercises judgment within defined procedures and practices to determine appropriate action.
- Visual acuity associated with concentrated computer use. Work normally requires minimal physical effort.
ADDITIONAL REQUIREMENTS: Must possess a valid California driver’s license; must pass a DMV check and have a good driving record; must have auto insurance that covers business driving (minimum of $100,000 per person/$300,000 per incident bodily injury liability/$100,000 property coverage); and must possess an automobile for business use.
COMPENSATION AND BENEFITS: $28.84 – $35.05
