Overview of responsibilities:
The Financial & Operations Administrator is responsible for supporting the financial operations of the Colorado AFL-CIO, handling the accuracy of financial transactions, resolving discrepancies in the company's financial statements, handle the allocation of funds, assist in tax audits, and process invoices and payroll release.
Additionally, the Financial & Operations Administrator will assist with operations and logistics of the organization, including scheduling meetings, assisting with annual conventions, and general office management.
Description of duties:
- Use LaborKey Per Cap software to track Colorado AFL-CIO affiliate account and contact administration; log per capita and assessment payment and deposit tracking; create and send per capita billing statements, analysis reports and audit reports; and create delegate eligibility and voting strength tracking.
- Manage bookkeeping and budget using QuickBooks, as well as reconciliation processes for all organizational income and expenses.
- Administer payroll, accounts receivable, accounts payable and benefits.
- Administer the organization’s bank account, including processing wire transfers/bill pay (checks) for outgoing payments, monitoring account for incoming deposits/wires, and reporting.
- Create monthly financial reports.
- Supporting Executive Director and Secretary-Treasurer in budgeting, forecasting, long-term planning, implementation, and strategic financial analysis as part of ensuring the fiscal and operational health of the organization.
- Execute document retention and destruction management, including coordinating with a vendor to migrate our paper-based document to electronic documents.
- Work with the Colorado AFL-CIO Secretary Treasurer and Trustees Committee for quarterly reconciliation of bank statements and deposits.
- Manage administrative filings and deadlines, including (but not limited to) Small Donor Committee reports with the Secretary of State.
- Oversee annual business insurance renewals.
- Support annual audit & tax preparation process.
- Support Colorado AFL-CIO Executive Board and Executive Council meetings by creating PowerPoint presentations, organizational charts, and financial spreadsheets.
- Manage the maintenance of office equipment.
- Organize events, schedule meetings, and make travel arrangements.
- Providing administrative support to the Executive Director, Political & Organizing Director, and Youth Worker Organizer as needed
- Proofread newsletters and important documents.
- Other duties as assigned.
Qualifications
- Proven work experience of two (2) or more years in finance and operations.
- Demonstrable experience with QuickBooks.
- Experience dealing with financial information and processes.
- Understanding of accounting principles and knowledge of accounting and budgeting processes.
- Effective time management skills, including demonstrated ability to manage and prioritize multiple tasks and projects.
- Excellent communication skills (oral and written), demonstrating an ability to deal with a wide range of stakeholders.
- In-depth understanding of office management and daily operations.
- Data management skills and proficiency.
- Capable of working independently as well as part of a team.
- High level of accuracy and attention to detail.
- Real world analytical and problem-solving skills, with the ability to identify and resolve issues effectively.
- Flexibility and responsiveness to affiliate union needs.
- Positive, enthusiastic attitude.
- Ability to treat in confidence all confidential information.
Location, Salary and Benefits
- This position is guaranteed 20 hours a week and is based in the Denver metro area.
- $36.31 hourly rate.
