Office Manager

Office and Professional Employees International Union Local 8 is seeking applicants for an Office Manager position. This position reports to the Local 8 Business Manager and is covered under a Collective Bargaining Agreement. The office location is in the Eastlake area of Seattle with parking or bus pass provided. The starting wage will be based on experience but shall not be less than $40/hr. with excellent benefits. The position is 40 hours a week from 9:00 a.m. to 5:00 p.m., Monday – Friday. This is a small office with 7 office employee positions and 14 field staff positions.

This position involves overseeing all aspects of office operations and managing the workflow of a Local Union office that represents over 7,200 members statewide. The Office Manager must be experienced at coordinating the day-to-day functions of an office and backing up other office staff work when needed. Experience working in a union office is preferred.


  • Monitor and coordinate office staff policies such as attendance, work hours, scheduling, OT, vacations.
  • Prepare and maintain Local 8 Policy Manual (both hard copy and electronic).
  • Monitor workflow, prioritize and direct activities of office staff to ensure efficiency of work.
  • Serve as a resource person/problem solver for office staff to ensure work is accomplished as expected and timelines are met.
  • Monitor/order office supplies, furniture, computers and member materials.
  • Coordinate and/or delegate special projects related to general office functions.
  • Serve as the contact/resource person and technical liaison for office equipment including computers, database, copier, phones. Maintain licenses with input from IT.
  • In consultation with Business Manager, may work with an individual employee to monitor or enhance performance.
  • Maintain staff leave slips and calendar and PTO tracking.
  • Coordinate staff benefits.
  • Maintain office and property insurance and bonding.
  • Coordinate archival documents procedures.
  • Make arrangements/coordinate Membership Assembly logistics including securing rooms, ordering food and beverages, arranging AV equipment. Coordinate member registration. Attend Membership Assemblies.
  • Help prepare the annual budget and assist in the annual audit.
  • Accounts receivable.
  • Dues posting.
  • Type, edit, and proofread a variety of correspondence and documents with accuracy and proficiency in Word, Outlook, Access, Excel and other software programs.
  • Answer phones, direct callers to appropriate staff and take messages.
  • Serve as the point person to interact with our technical support for troubleshooting computer, database, Internet, phone, copier, printer and other equipment/applications.
  • Monitor, retrieve and forward emails from the general email box.
  • Post the daily mail and coordinate larger mailings.
  • Search locations and make arrangements for various meetings.

The Office Manager also provides administrative support to the Business Manager.
