Office Administrator / Bookkeeper

Based in Oakland, CA

 

The Office Administrator / Bookkeeper will report to the President or designee and will be responsible for the day-to-day operations of the office and must be able to work independently under general direction. Duties include specific daily responsibilities for accounts payable, accounts receivable and reporting with fine attention to detail and accuracy; coordination and logistical support for events, campaigns, and actions; and provide administrative support. The position will handle confidential and non-routine information with sensitivity and the candidate should be able to thrive in a fast-paced environment. Must be able to interact with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization.

EXAMPLE OF DUTIES

  • Manage the day-to-day operations of the office
  • Accounts Payable/Receivable, employee payroll, and related payroll taxes and 401(k)
  • Ensure all charges are accurate and within the limits prescribed by internal policies and procedures; Perform a variety of bookkeeping duties including posting of prepared data and verification of data entered. Compile information and data for reports; check and tabulate data.
  • Prepare a variety of routine financial reports, statements, and schedules; prepare monthly, midyear, and year-end reports.
  • Answer phones and e-mails and direct to the correct contact
  • Act as a liaison with external business partners and Locals in the Joint Council
  • Coordinate logistical support for events, campaigns, and actions including, but not limited to, the All Charities Golf Tournament and Clay Shoots
  • Manage the Joint Council’s Scholarship each year, including preparing materials, cutting checks, and sending reminders to Locals
  • Manage the per capita from all Locals in the Joint Councils
  • Maintain calendar for the JC #7 Truck and pay drivers
  • Prepare calculations for auditors
  • Back up on correspondence for the President, including typing, proofreading a variety of documents including agendas, reports, newsletters, and memoranda
  • Maintain schedules and reimbursement for Organizers
  • Receive, open, review, sort, date stamp, and distribute office mail; review correspondence directed to assigned staff; prepare written responses as directed.
  • Perform a wide variety of general clerical work including maintaining files and records, verifying accuracy of information, and recording information. Assist in office maintenance and ordering of supplies.
  • Manage timelines and notices for Delegates meetings
  • Operate modern office machines and equipment including calculating or adding machine, word processors, computers, typewriters, printers, copiers, calculators, and FAX machines; routinely use a full range of spreadsheet computer software applications

SKILLS, KNOWLEDGE, AND ABILITIES

  • Fundamental principles and procedures of fiscal record keeping.
  • Basic mathematical principles.
  • Basic word processing methods, techniques, and programs.
  • English usage, spelling, vocabulary, grammar, and punctuation.
  • Principles and techniques used in dealing with the public.
  • Numerical, alphabetical, and subject matter filing systems.
  • Standard office procedures, methods, and computer equipment.
  • Type at a speed of 50 words per minute and enter data at a speed necessary for successful job performance.
  • Operate modern office equipment including computer equipment.
  • Learn to accurately tabulate, record and balance assigned transactions.
  • Perform general clerical accounting work including maintaining appropriate files and compiling information for reports.
  • Perform mathematical computations quickly and accurately.
  • Communicate clearly and concisely, both orally and in writing.
  • Learn and apply pertinent Federal, State, and local laws, codes, and regulations including administrative and departmental policies and procedures.
  • Work under supervision within a well-defined framework of standard policies and procedures.
  • Plan and organize work to meet schedules and timelines.
  • Understand and follow oral and written instructions.
  • Learn the procedures and functions of assigned position.
  • Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work.

QUALIFICATIONS AND EXPERIENCE

  • A minimum of 3 years professional experience as administrative personnel
  • Previous experience in the labor movement or a non-profit preferred
  • Excellent verbal and written communication skills; experience supporting senior management
  • The ability to work in a collaborative manner and take direction or work independently as the situation requires
  • Proficiency with Microsoft Office Suite and QuickBooks. Experience with membership programs and Salesforce preferred
  • Graduation from college with a degree in accounting preferred
  • Must be able to multi-task and work well under pressure; prioritize and produce a quality work product within deadlines
  • This position is considered Confidential but not overtime exempt.
