The Writers Guild of America, East, AFL-CIO (WGAE) is a labor union representing thousands of members who write content for motion pictures, television, news and online media. The Guild negotiates and administers contracts that protect the creative and economic rights of its members; conducts programs, seminars and events on issues of interest to writers; and presents writers’ views to various bodies of government.

Job Description:
The Guild is seeking a full-time Executive Assistant. Ideal candidates should possess the ability to work in a fast-paced environment and perform multiple tasks, demonstrate initiative and forward planning in completing projects, resolving issues, and meeting deadlines with minimal supervision.

Key duties include:

  • providing administrative and logistical support to the Executive Director, including calendar management and travel arrangements, as well as managing relationships inside and outside the Guild
  • working with members of the executive team to prepare legal documents, research reports, and presentations
  • assisting other executives and elected union officers with travel arrangements
  • handling confidential information
  • preparing materials for meetings
  • tracking follow-up on decisions and projects to ensure deadlines are met
  • coordinating meeting logistics including booking conference rooms, distributing conference call information, arranging meals and overseeing their delivery and removal, and preparing and distributing meeting materials
  • providing general expense reporting assistance
  • organizing meetings of staff, elected officers, and members
  • identifying how the office can function more effectively
  • working on special projects as assigned by the Executive Director or conceived by the Executive Assistant based on experience, interest, and imagination
  • Assisting in filing grievances, arbitration demands and EEOC and unfair labor complaints
  • Working with Guild staff to organize bargaining notes, grievances and arbitration demands
  • Managing Zoom schedule and host functions

Qualifications

  • organized, focused, able to manage multiple tasks and recognize priorities
  • able to navigate sometimes complex settings and bureaucracies
  • able to take the initiative, to anticipate tasks and requirements
  • experienced in office environment including Microsoft office suite
  • strong interpersonal skills
  • strong oral and written communication skills
  • professional demeanor and ability to interact comfortably with wide range of staff, officers, members, and people and organizations outside the union
  • knowledge of excel and power point a plus.
