Salary Range: $48,050 - $86,294

This position is responsible for providing administrative office support and data entry of confidential information including but not limited to new hire paperwork, benefit documents, EEO and other personal information processed within the Human Resources Department. Provides primary support to the Human Resources Generalists and Administrative Assistant.

Duties:

  • Performs data entry of new employee information, salary, benefits, and other personal information into the HRIS databases.
  • Creates and sends electronic new hire packets for onboarding and apprises the appropriate staff members when personnel documents are incomplete or missing.
  • Generates and routes personnel and other appropriate actions and reports using HRIS databases.
  • Alerts various departments and security of new hires and personnel changes as appropriate.
  • Under direction, prepares routine personnel documents, applications, EEO voluntary self-identification forms, and performance evaluations for filing after data entry is complete.
  • Creates and maintains electronic employee personnel files and handles request for personnel documents and information.
  • Post job openings at the appropriate times.
  • Disseminates job postings electronically for submission to AFSCME’s and various recruiting websites, updates job boards to keep postings current, and remove postings once positions are filled.
  • Assists with aspects of leave administration to include administrative support of FMLA leave requests, employee audits, data-entry of leave and audits, run absence accruals, and calculate overtime.
  • Responds to request for information such as job openings and status, application procedures, and leave information.
  • Records large volumes of historic data into databases as needed for the purpose of enhancing data analysis capabilities of the software. Audits data entered into all automated systems and personnel records.
  • Format and finalize draft correspondences for review by management then send finalized version to recipients.
  • Files job opening information, personnel actions, offer letters, etc. in appropriate files and maintains an accurate and accessible filing system, including maintenance of departmental records.
  • Acts as back-up to other support staff, assist with employee activities and solidary programs, and distributes mail received by the department.
  • Provides phone coverage for the department, takes clear messages and relays them promptly.
  • Performs other comparable duties as assigned.

Requirements:
Education and Experience

  • High school graduate or equivalent with some business school education.
  • A minimum three (3) years of general office experience, preferably in a human resources environment or any equivalent combination of education and experience.

Skills Requirements:

  • Working knowledge of human resources policies and procedures. Ability to read and interpret policy and contract statements.
  • Thorough knowledge of Microsoft Office software with some knowledge of spreadsheet software and graphics software.
  • Knowledge of business document formats and accurate data entry into database.
  • Excellent communications skills, including tact and diplomacy when dealing with the public. Good organizational skills and strong attention to detail.
  • Ability to handle and maintain confidential information.
  • Knowledge of HRIS databases preferred.
