Financial Office Manager (Based in Providence, Rhode Island):

  • Reports directly to the Exec VP of RI
  • Oversees RI Admin Asst position
  • Works closely with outside Accountant and 1199NE Connecticut staff (i.e., sister office) to include but not limited to CFO, Office Manager & Executive Assistant.

Duties and Responsibilities

  • Complete monthly reconciliations of all accounts, prepare month-end financials, complete annual budgetary requirements, annual 401K Census, & annual reports for Worker’s Comp Filing. Understand, support & implement GAAP financial policies, company level controls and procedures, Union By-laws, contracts, employee handbook as it pertains to finance & payroll issues.
  • Timely complete entry of approved invoices/expense vouchers into Quickbooks to prepare for weekly AP check runs Responsible for vendor maintenance to include but not limited to record new vendors, ensure W-9’s are on file for all 1099 vendors. Record TIN #’s in system to reflect.
  • Identify specific payment types and allocate the funds to the appropriate G/L using our accounting system in addition to making deposits to the correct bank accounts.
  • Review and ensure accuracy of weekly payroll (staff of 15) to include approved electronic timesheets; track and deduct all garnishments and other special payroll deductions (401K, Dues, Ins, Loans etc.). Track & maintain reporting & filing via Paychex to include but not limited to 941 quarterly filings, terminations, long/short term disability, COVID-19 sick pay, FMLA, etc.
  • Establish/maintain employee records; ensure that employee changes are entered correctly on a timely basis; review changes for proper authorization and adherence to APA (America Payroll Association) policy including compliance with federal/state/local regulations to include but not limited to
    • Ensure new employees are eligible to work in the U.S.
    • Tax withholding, and reporting
    • Paying employees timely meeting the requirement of wage and hour laws
    • Wage withholdings of child support, garnishments and/or liens
  • Acts as Executive Assistant to the Executive Vice President on an as needed basis, including but not limited to coordination with RI Executive Board, arranging meeting space and travel, and maintaining office supplies.


  • Knowledge of payroll terms, practices and procedures; knowledge of accounting GAAP principles and procedures; knowledge of general office procedures; basic interpersonal skills; ability to maintain records and files; ability to follow complex verbal and written instructions.
  • Competent computer skills for financial reporting & attention to detail a must. Knowledge of the principles and practices of fiscal administration with special reference to small to medium non-profit enterprises. Knowledge of payroll practices and procedures. Ability to prepare and analyze financial documents and reports. Interpersonal skills. Oral and written communication skills.
  • Excellent financial /accounting knowledge with strong skillset in Quickbooks, MS Excel, Access, Word and Power Point
  • Excellent problem solving/judgmental skills, with high level of attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise extreme discretion.
  • Ability to handle and prioritize multiple tasks and meet all deadlines
  • Approximately three (3) years (or combined college education and experience) across a range of fiscal functions, including accounting, budget management, account reconciliation, payroll, and overseeing accounts payable and receivable.
  • Approximately two (2) years experience in supervision
  • Union or labor movement background helpful, Bilingual a plus
