Accounts Payable Specialist

Based in San Jose, CA


Reports To: Assigned Director of Finance
Supervises: Non-supervisory position. Works under general supervision on specific assignments. Work is Subject to review upon completion.

To perform finance administrative duties in the area of accounts payable.


  • Verify and assure approval process is followed prior to payment processing.
  • Process and record all invoices and disbursements throughout the month at scheduled intervals and as needed.
  • Assure document retention according to organizational policy.
  • Verify accuracy of credit card reconciliation, obtain necessary approval from authorized personnel to reconcile accounts and process credit card payments, as established via organizational processes.
  • Perform necessary steps to set up and maintain direct bill/direct pay accounts, according to appropriate governing authority’s guidelines.
  • Perform minor analysis as requested.
  • Verify 1099 vendors, print 1099 documents, and send out the appropriate copies to all vendors and federal organization.

Related Experience/Skills & Knowledge Required:
Requires communication skills equivalent to an A.A. degree in business and one year to three years of work experience in an accounting department environment. Must be familiar with automated systems. Excellent word processing skills, Excel skills and the ability to deal comfortably with numbers and complex spreadsheets are also required.

Job Complexity
Works on problems of moderate scope and complexity. Exercises judgment within defined procedures and practices to determine appropriate action.

Contacts are regular with management, members, vendors, employees, and non-management personnel.

Physical Demands:
Visual acuity associated with concentrated computer use. Work normally requires minimal physical effort.
