The International Cinematographers Guild, IATSE Local 600 is the largest camera and publicist union in the world with over 8,000 members in all 50 states and Puerto Rico. We are a National Local of the International Alliance of Theatrical and Stage Employees (IATSE). Applications are now being accepted for Receptionist-Data Management Assistant, Eastern Region. This position will be based out of the Eastern Region, New York office.

Title: Receptionist-Data Management Assistant

Salary: This position is covered by OPEIU 174-IATSE 600 CBA

Position Overview:
Under the direction of the Office Manager, the Receptionist-Data Management Assistant will assist the Office Manager in the tracking of productions and entering data on union members' employment and alerting union business staff of possible problems or issues on productions. The Receptionist-Data Management Assistant supports the Office Manager while assisting union business staff and elected officers in the scheduling and hosting union meetings, film screenings, educational events/training and social events.

In addition to receptionist duties, the Receptionist-Data Management Assistant will provide support to the Eastern Region office by entering new hire lists, call sheets and other work history data sources. Confirm and validate production and company information. Update work history information as needed.


  • Handle walk-ins and phone calls coming into the union office. Assist in the recording of job reports and any Information on productions (film, TV, commercials, music videos etc.) taking place in the Eastern Region (15 states, Washington, D.C., and Puerto Rico).
  • Assist the Office manager and other clerical staff in data collection and entry.
  • Conduct initial review of production call sheets and crew lists, alert business staff of possible problems or concerns.
  • Track and record job reports from members received by phone and email.
  • Enter work history from various sources
  • Reconcile Payroll Reports and format for upload
  • Create/Update Production and Company records
  • Assist the Office Manager when creating and maintaining internal files on productions in the Eastern Region.
  • Refer inquiries from members, production companies, other unions, etc. to the appropriate union staff.
  • Assist Region Director in compiling data for reports on Eastern Region.
  • Maintain records on members working out of category.
  • Assist working members and active productions in contacting additional crew members.
  • Create and distribute lists of members available for work as needed.
  • Ensure that letters and packages are properly sent. Review and distribute mail received.
  • Performs other related duties as assigned or directed


  • Assist the Office Manager when coordinating data collection with National Local 600 office and other RegionalLocal600 offices.
  • Assist business staff in other regions in gathering Information on members and productions.
  • Distribute, when necessary, production and other information to other IATSE Local Unions and the IATSE International.
  • Assist the Office Manager when providing updates on new union signatory companies to National Local600 office and IATSE International.
  • Assist in providing relevant information to the union benefit funds.
  • Maintain good working relations with film and TV production offices, production companies and City and State Film Offices.


  • Assist the Office Manager, Region Director and local Union officers in the scheduling and hosting union meetings, film screenings, educational events/training and social events. This includes, when necessary, securing venues, catering, and arranging travel and accommodations for guests.
  • Assist the Office Manager when planning annual holiday party.


  • Order office supplies.
  • Assist in making calls for needed repairs and office maintenance.


  • High School Diploma
  • Proficient in MS Office 365 suite: Access, Excel, Outlook, SharePoint, Teams, Word etc.
  • Strong and effective communication skills, both verbal and written
  • Ability to work autonomously to complete projects and tasks
  • Previous union experience a plus


  • 2 Years Data Entry experience.

A valid Driver’s License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions. Ability to lift-up to 20lbs.

This position is classified as non-exempt under the current OPEIU Local 174-IATSE Local 600 CBA. ICG staff is represented by the Office and Professional Employees International Union (OPEIU).
