Job Summary:
The Executive Secretary will work closely with the Unions Communications Team on behalf of the Homecare Department. The Executive Secretary will create engaging content that will be used on text blast, emails and the Unions Homecare website. They will perform secretarial work of average difficulty involving some independent judgment for the department. Also performs general functions and related work as required. Work is performed under the general supervision of the Executive Vice President. Must be well organized and possess outstanding secretarial skills.

Job Functions:

  • Takes and transcribes notes, prepares draft of notes, and after editing, finalize.
  • Support organizing teams in engaging workers ability by creating content and team-wide adoption of digital tools
  • Ability to create and manage content for:
    • Email campaigns
    • Work with the Union Communications team on updating Homecare Websites
    • Assist with data collection for surveys
    • Collaborate with the Communications team to ensure the Union social media platforms are up to date with Homecare information/activities
    • Manage text messaging platform (Hustle/purple text). Send out blast, exports reports
    • Responsible for OV- data transfer, integration and management
    • Create and manage WhatsApp worker groups
    • Video meetings (Teams/zoom)
  • Screen visitors, telephone calls and directs mail to the correct officer or department head.
  • Organizes and maintains a variety of files and records.
  • Answers the phone, provides and receives information concerning matters related to the division or department


  • High school diploma, Bachelors preferred.
  • Excellent spelling, grammar and vocabulary with good verbal and written communication skills.
  • Three years’ experience in the performance of responsible secretarial and clerical work.
  • Some knowledge of modern office methods and procedures.
  • Must have knowledge of office equipment and experience with word processing.
  • Ability to perform duties with speed and accuracy without immediate and constant supervision.
  • Ability to work well under stress.
  • Ability to work possible long hours, with occasional evenings and weekends.
