Location: Headquarters – Washington, DC
OPEIU Local 2 Grade 4
Starting Salary: $46,675

Provides a variety of general office and clerical support to department activities using some independent judgment. Maintains and reconciles records, schedules, and travel arrangements. May perform some or all the functions listed below; amount of time spent on each activity may vary with incumbent.

DUTIES:

  • Audits and maintains spreadsheets for monthly American Express corporate card; contacts hotels, vendors, organizations etc. for receipts and folios for individual charges; disputes credit card charges; and makes copies of receipts, folios etc.
  • Handles routine requests for information, screens calls, routes calls or takes and delivers messages.
  • Prepares correspondences, reports, and other office forms from draft to final form.
  • Requires some independent judgment as to content, accuracy, and completeness.
  • May draft routine correspondences or modify standard correspondences to meet specific needs within set parameters.
  • Review correspondence and emails, determines what information is to be cross-filed and/or included in other files or reports in order that a complete history or file is available in SharePoint.
  • Provides first line review of Judicial Panel meeting space contracts; reviewing for dates, function needs; and sending credit card authorizations to hotels to secure the meeting space.
  • Order office supplies for daily operations, special meetings, and conferences.
  • Opens and distributes daily mail, pick-up and delivers documents to various departments.
  • Prepares departmental weekly attendance reports.
  • Process T/As for staff and makes copies for appropriate departments.
  • Handle staff enrollment, updates, and removal from Concur travel database.
  • Handles conference room reservations.
  • Process monthly rental car EAFs for payment processing.
  • Troubleshoots any issues.
  • Assists meeting planners with conferences and meeting preparation to include but not limited to packing flags, podium seals, supply boxes, etc.

Handles contract routing process.
May process non-staff T/As and credit card authorizations, order food for meetings, process long-term housing, assist housing coordinator, data-entry in Enterprise Housing database, may work directly with Omega Travel on staff travel extensions, and other duties as assigned.

REQUIREMENTS:
Education & Experience:

  • Three (3) to five (5) years of experience.
  • Graduation from an accredited high school or equivalent and office experience, including the proficient use of software programs particularly MS Office and a housing database; or any equivalent combination of education and experience which provides the following knowledge, abilities, and skills.

Skills:

  • General knowledge of basic office equipment and telephone answering techniques.
  • General knowledge of office and organizational procedures.
  • Communication skills sufficient to exchange routine information.
  • English skills sufficient to proofread for spelling and grammar and compose simple correspondence.
  • Ability to operate computers to access and update records.
  • Ability to type 45-50 wpm.
