Job Summary:
Under the daily supervision of a Supervisor, employee provides clerical and reception support for the Administrative and Organizing Staff of the Union. The nature of the work may vary between departments and divisions.

Job Functions:

  • Type and/or reproduce reports, memos, forms and other material generated by staff using appropriate formats. Also proofreads for grammatical, spelling and typographical errors.
  • Greets staff members and visitors courteously, identifies their needs and directs them to the proper person and/or office.
  • Receives, sorts and forwards all incoming mail to appropriate party.
  • Screens and routes telephone calls to appropriate destination, answers general questions, make referrals, provides information, takes messages and directs incoming calls appropriately.
  • Maintain department-filing system.
  • Notifies staff of member needs.
  • Maintain payroll information such as scheduled time off, absentee, vacation and sick time for Organizing and Administrative staff.
  • Prepares staff attendance analysis for payroll department.
  • Mail out member grievance letters to the institutions; Maintain log for member verification letters received and mailed.
  • May prepare presentation materials such as leaflets, etc.; Delivers and picks up materials as needed.
  • Maintains a Daily Work Activity log of work performed.
  • Perform administrative duties such as copying, faxing, and filing documents; performs other related duties as assigned.

Minimum Qualifications and Experience:

  • High school diploma or Equivalency Certificate, Typing ability of fifty (50) words per minute, accurately, Six (6) months related experience, Bilingual (Spanish/English) preferred, Ability to speak in a clear and understandable manner and write legibly, Ability to work overtime when required, Skilled in standard office systems such as voice mail, Ability to set up and maintain an office filing system, Skilled in performing clerical tasks with a high degree of accuracy, Able to use Word Processing program at a basic level (centering, bold, tabs, etc.), Ability to look up information in readily available sources, such as files, manuals and directories (both paper and electronic).
