Negotiations Note Taker / Transcriber

Based in the Dallas/Ft. Worth, TX area
(position will need to be local and in-person but open to remote if the restrictions require)



  • Excellent listening, written, and verbal communication skills.
  • Ability to take accurate and detailed notes, using a laptop, during meetings involving multiple people.
  • Excellent proofreading skills and ability to recognize and make needed edits.
  • Ability to manage and organize large volume of documents and ensure document version control.
  • Ability to maintain a professional demeanor during crucial meetings and negotiating sessions.
  • Ability to work flexible or extended hours depending on meeting schedules and work requirements.
  • Ability to type 75 words per minute. (Court-reporting or short-hand experience preferred)
  • Experience with Microsoft software programs, including Word, Excel, Outlook, PowerPoint.
  • Knowledge of document management and retrieval systems with demonstrated experience with SharePoint/Teams
  • Experience working in legal, airline, or negotiating environments or in the labor field preferred.


  • Provide note taking services and support to the Lead Negotiating Attorney, National President, and Negotiating Committee.
  • Act as the primary note taker at and during bargaining sessions and other meetings, including but not limited to internal APFA meetings and meetings with American Airlines.
  • Summarize, create, and categorize negotiating notes. Track, log, and preserve negotiating notes, APFA and AA negotiating proposals and developing contract language, and create and control a document version plan.
  • Maintain a collective bargaining agreement (CBA) master document folder and update the folder as necessary with letters of agreement, settlements, and other documents which affect the CBA.
  • Work professionally and closely with the Lead Negotiating Attorney, National President, and Negotiating Committee as well as other APFA committees and staff, and professionally interact with American Airlines personnel and representatives.
  • Coordinate with the APFA IT Department related to guidelines and support for handling and managing documents and to ensure proper storage and preservation of documents.
  • Serve as a SharePoint/Teams specialist organizing large volumes of information and documents.
  • Arrange, store, and retrieve negotiating documents and ensure documents are accessible to the Negotiating Committee and staff.
  • Expected to develop knowledge of and ability to use legal databases and search engines.
  • Perform other duties as assigned.
