Executive Assistant

Based in Detroit, MI

 

Position Purpose
The primary responsibility of the Executive Assistant is to establish and maintain the office procedures of the Wayne State University Chapter of the American Association of University Professors-American Federation of Teachers (AAUP-AFT), Local 6075. The Executive Assistant is responsible to the Executive Director and assists the Executive Director in ensuring that the office is organized and projects are run successfully in order to meet the goals of the Association.

Qualifications

  • Strong interpersonal skills and ability to manage multiple competing priorities with dignity and poise
  • Secretarial skills (typing and computer skills, operating business machines)
  • Experience in Union administration and/or employee relations
  • Demonstrated written and verbal communication skills
  • General computer skills including word processing, desktop publishing, database management, and spreadsheets. Experience with Microsoft Office (Word, Excel, PowerPoint) and Mac computers helpful.

Education / Experience
High-school diploma with at least 3 years experience in secretarial or office management required. Previous Union Administrative work experience preferred.

Major Duties and Responsibilities

  1. Communication
    • Telephone and email responsibilities
      • Provide information for appropriate referrals
      • Take and transmit messages
    • Act as receptionist, greet visitors, ascertain nature of business, and conduct visitors to appropriate individuals
  2. Office Organization and Management
    • Maintain file records, both hard copy files and using the electronic file archival system
    • Oversee the issue and grievance tracking process
    • Maintain membership records and database. This includes processing new membership forms, identifying new hires and inactive/terminated/retired members, and compiling monthly status reports.
    • Keep inventory of office supplies and order supplies as needed
    • Stay abreast of current and developing office procedures and equipment and make recommendations
    • Supervise office personnel
    • Manage data and provide appropriate reports including data for annual financial review
    • Carry out other administrative duties as assigned
  3. Other Responsibilities
    • Prepare materials for regular Executive Board meetings
    • Send out meeting announcements via email and regular mail
    • Prepare bulk mailings and packets for new employees/members
    • Assist with Union Election process
    • Assist in making travel arrangements
    • Assist in planning and coordinating special events
    • Expand knowledge in Union and employee relations through continuing education and professional development activities.
    • Operate office machines
    • Perform errands as needed
    • Perform related duties as assigned

Salary and Benefits
Salary ranges from $45,000 to $55,000 depending upon skills and experience. Excellent benefit package including health, dental and pension.
