Office Manager

Based in Newark, NJ

 

32BJ SEIU is one of the largest and most dynamic labor unions in the United States, with 175,000 members in eleven states and Washington, DC. We currently seek an Office Manager (OM), reporting to the Staff Director. The OM has an understanding of the goals of the District, and provides logistical, technical and clerical services for New Jersey-based staff. The OM is based in the Newark office, but also performs work outside the office to support off-site events.

Responsibilities Include:
Logistical support for events

  • Secure suitable sites for conferences and events, arrange for group transportation and drivers, as needed
  • Order materials and equipment, including stage set-up if needed; order food, arrange for delivery, organize setup and clean up; track all expenditures; process invoices
  • Provide on-site staff and member support for the conference or event
  • Host large Zoom meetings

Manage and troubleshoot day-to-day operation of the office

  • Acting as primary liaison with building management for security, maintenance and cleaning
  • Working with 32BJ Office Services to order and maintain equipment, furniture and supplies for the office and staff
  • Providing support for large mailings

Data Processing and Data Management

  • Process or update member and employee information in Union data systems: member database (V3), HR system (HRP), workflow system (BP Logix)
  • On-board new hires and member brigades: check HR forms and follow-up as needed; initiate entries in the HRP and work with IT to get them the tech tools and access they need
  • Organize and maintain up to date financial tracking documents; participate in budget planning for the office and campaigns
  • Produce member rosters: pull data from V3 and QlikView, merge, and verify data with Field Representatives
  • Work with Contracts department to maintain updated contracts and riders in V3
  • Organize and maintain digital filing systems; work with staff to transition remaining paper files to digital, eliminating paper
  • Arrange travel for staff and members

Qualifications Include:

  • Three to five years of relevant work experience in an office environment;
  • Ability to plan one’s work and operate independently to keep work organized, and manage deadlines without close supervision;
  • Strong office technology skills, especially Word (TOC, index, mail merge), creating PDFs (creating fillable forms), Excel, facilitating zoom meeting, and experience adopting new programs and applications;
  • Strong interpersonal skills; experience and ability to work with people from diverse backgrounds, including staff at all levels;
  • Strong writing skills;
  • Bilingual English/Spanish.
