Job Summary: United Domestic Workers of America (UDW/AFSCME Local 3930) seeks an Executive Assistant to the Communications Director to assist with the day-to-day management of the department and to amplify the voices of home care providers, family child care providers, and America’s working families. The right person for this job is organized and detail-oriented, collaborative, and has a commitment to economic and social justice.

Job Duties and Responsibilities:

  • General administrative support for the Communications Director and department.
  • Department scheduling including managing the department Zoom account, sending meeting invites, and keeping track of important upcoming events and engagements
  • Creation and distribution of meeting agendas and notes for departmental meetings and other meetings as assigned.
  • Assist director with creation of departmental documents, reports and presentations.
  • Arrange departmental travel, create detailed travel itineraries, and process resulting expense reports.
  • Coordinate the translation of projects, graphics, documents and online content
  • Compile, organize, and prepare reports on communications-related data (e.g. survey results, story submissions).
  • Work with vendors and UDW field staff to coordinate the printing and mailing of UDW communications, flyers, field materials, etc.
  • Order materials for UDW events and campaigns.
  • Catalogue photos, release forms and other UDWA communications projects.
  • Work with field staff to identify and vet UDW members to participate in communications opportunities.
  • Order materials and supplies for communications office, UDW events and campaigns.
  • Attend UDW’s member-facing events and assist with setup, taking photos, interviewing members, and other duties as assigned.
  • Assist with event planning, logistics, tracking event vendors, and other related projects.
  • Prepare, edit and format documents (ad requests, memos, letters, presentations, etc.) to support the communications team.
  • Support other activities related to UDWA’s internal and external communications programs as assigned.

Knowledge, Skills and Abilities:

  • 1-3 years’ experience in administrative or communications field
  • Excellent interpersonal and written communication skills
  • Works well under pressure and with tight deadlines
  • Organized and detail-oriented
  • Able to handle numerous projects at the same time and work independently
  • Labor, community, political or student organizing experience
  • Software: MS Office Suite and Adobe Design Suite
  • Bilingual in Spanish or Vietnamese a plus
  • Ability to work long and irregular hours to complete projects and support campaigns
  • Willingness to travel, as needed
  • Valid driver's license and reliable car.
