Job Title: Administrative Assistant I

Job Classification: Full time permanent, Union, Non-Exempt

We are seeking a high-energy, mature, well organized, Administrative Assistant for a position with its core responsibility of being the receptionist, the first point of contact for our Organization; along with other job functions that include providing support to statewide campaigns, special projects, and other responsibilities that may be assigned from time to time. The successful candidate must be experienced, having worked in a fast-paced office environment and capable of handling multiple and diverse assignments. Labor or campaign experience preferred.

Responsibilities will include:

  • Serve as the first point of contact: greet visitors, answer the phone, and respond to e‐mail inquiries.
  • Assist when necessary in the development and preparation of presentation material, campaign material, and campaign propaganda.
  • Coordinate and plan logistics for rallies and other actions/events, including onsite support.
  • Coordinate special projects and prepare database reports.
  • Provide administrative support to staff in satellite offices including onsite support when necessary. • Maintain various travel and events calendars.
  • Handle all incoming and outgoing mail.
  • Assist with vendor research.
  • Assist with data entry projects.
  • Satellite office organization & maintenance (including stocking supplies). • Performs other duties as required

Education and Experience
High School Diploma and Experienced (1-3 years minimum) in administrative/office work and logistics, preferably in a dynamic member-driven organization. The ideal candidate will be responsible and shows initiative; is open to receive and apply feedback and possess the ability to work with a diverse group of people. We are seeking an incredibly motivated, responsible, independent worker, who is organized, a multi- tasker, problem-solver, detail oriented, and willing to travel to satellite offices across the state of California when necessary.

Required Qualifications:

Previous Clerical experience and the ability to work with minimum supervision. Knowledge and experience in office data entry and word processing programs. Ability and knowledge to perform office tasks such as filing, recording, maintaining records, copying, posting, and other similar duties using a computer or tablet. Works under general supervision. Excellent interpersonal skills, proficiency in MS Office Suite/Access, Google documents, and Adobe. Ability to work weekends and long and/or irregular work hours when necessary.

Physical Requirements:

  • Ability to lift or move items weighing up to 50 pounds.

Preferred Qualifications:

  • Bilingual Spanish/Chinese and other languages are a plus.
