Ohio Federation of Teachers (OFT), Local 8033 is a statewide union representing teachers, paraprofessionals, other professionals and more.

OFT is seeking a full-time Executive Assistant in Columbus, OH.

The Ohio Federation of Teachers is searching for a talented, motivated, and cause-driven individual to serve in an Executive Assistant (EA) role directly reporting to and supporting the President to help her and the organization advance critical organizational initiatives for growth and greater impact.

This EA position offers an individual the opportunity to work side-by-side with the President of a widely-respected labor federation. The EA works shoulder-to-shoulder with the OFT President on a daily basis. This person serves as a researcher, editor, strategist, coordinator, writer, networker, strategic scheduler, copyeditor, and other roles, all wrapped into one.

The EA’s role varies widely in scope from the intellectual challenge inherent in trying to solve complex organizational issues, such as aligning interests and operating in a federated model, to the mundane of meeting follow up, line-item tracking, and making sure an email and correspondence is copyedited to be concise and clearly written or that a critical delivery made it out on time.

The EA's role is based in Columbus and requires occasional travel across Ohio.

A great emphasis is placed on a candidate’s personal chemistry and fit with the President, as well as alignment of social purpose, work ethic, and intensity. Chemistry and fit with other OFT team members are important as well.

This is not a 9-5 position. After hours availability and responsiveness are both expected and periodically required.

The EA is a support role with a wide range of responsibilities, influence, and interaction, and is designed to maximize the President's effectiveness in several essential areas necessary for organizational success. Top responsibilities include:

  1. Priorities & Scheduling
    • Be proactive in helping the President focus her time and attention on the highest value activities
    • Be protective of her time and energy.
    • Develop smart scheduling systems that proactively map out the President's travel needs and other impactful activities (meetings, calls to board members, etc.). EA will travel often with the President.
  2. Project Management
    • Effectively manage executive office priorities to the outcomes we need. Examples: Board meeting planning, coordination, and set up; outreach efforts to key stakeholders, allies, legislators, and influencers.
    • Create written plans for each of these key initiatives, make a timeline of necessary activities, and track progress to date. Keep it in front of us.
  3. Writing and Follow Up
    • Draft compelling first versions of proposals, memos, white papers, testimony, etc. These start with a discussion on overall direction, then EA creates the draft. (includes Word docs, PPTs, etc.)
    • Copy edit and proofread all written communications
    • Create and manage a system of follow up after meetings, etc. through template creation, writing, etc.
    • Take notes in meetings, identify action items, track progress.
    • Assist with member communications
  4. Data and Communication Management
    • Organize and manage data, information, and communication systems
    • Train staff members on how to access and use data, information, and communication systems.

Qualifications and Experience

  • Ability to work independently while also incorporating feedback
  • Ability to organize and coordinate major projects, through completion
  • Ability to critically review source data, detect and correct errors
  • Advanced English, spelling, punctuation, grammatical, vocabulary and proofreading skills
  • Ability to work effectively with employees, members, and the public
  • Ability to effectively communicate orally and in writing
  • Advanced computer operating skills – familiarity with Google suite, Zoom, and social media platforms preferred.
  • Interpersonal and problem-solving skills including the ability to provide leadership and technical assistance to others
  • Ability to organize, schedule work and follow instructions
  • Ability to make non-routine decisions
