Job Title: Apprenticeship Coordinator
Reports To: Director of Apprenticeship

Organizational Overview:
The SEIU Healthcare 1199NW Multi-Employer Training Fund (Training Fund) is a non-profit, labor/management partnership between nine major healthcare employers and the largest healthcare union in Washington State. The Training Fund sponsors the Health Care Apprenticeship Consortium and the Virtual Health Care Institute with additional healthcare unions and the participation of a range of healthcare employers. Formed in 2008, the Training Fund is a state-wide program that addresses workforce needs of participating employers and supports the career, knowledge and skill aspirations of SEIU Healthcare 1199NW eligible union members.

Position Overview:
The Apprenticeship Coordinator position is responsible for the administration, coordination and implementation of a variety of apprenticeship and preparatory programs and services to members and new candidates in Washington (and potentially other regions as they develop). Work is performed under the supervision of the Director of Apprenticeship, in coordination with the Executive Director, to administer, document, recruit, develop, coordinate, and collaborate with multiple partners, apprentices, and candidates in advancing the Training Fund’s apprenticeship and preparatory programs. The Apprenticeship Coordinator is a team member helping to scale our apprenticeship program through tight administration and team work, and building lasting relationships and programs with our partners; including our candidates, our members, participating employers, participating unions, apprenticeship and health care regulatory staff and agencies, regional and occupational healthcare industry groups, and community-based partners.

Level of Authority:
Performs administrative, document handling, recordkeeping, and collaborative duties. Under direction of the Director of Apprenticeship and with some independence by task and experience, following program priorities within organizational policies and procedures.

Work Environment:
The work will be conducted virtually from home, our office, and at meeting locations with partners, members and candidates, state staff, and community-based organizations. Work may be performed in a complex setting both inside and outside of the office, with diverse people and tasks. Position may require frequent visits to local internal or external collaborators, members, and other partners, in addition to travel to meetings, assessment or training locations, some of which may include overnight trips. Our work has us working with employees, hospital systems and partners who have non-traditional work hours. This means you may be required to attend meetings, meet with members or partners in the early morning, late evening, or weekends. Regular participation in meetings (in person and/or sometimes virtually) with Training Fund staff, partners and other stakeholders is required.

Essential Job Functions:

  • Prepares documentation for and helps with administration of Apprenticeship and Preparatory Programs, including Training Fund related programs, benefits, and services for participants. This position does of lot of documenting and tracking using a variety of web and software applications.
  • Facilitates implementation of projects and services.
  • Provides program information, including referrals and information on apprenticeship options, career planning, and other programmatic services and/or resources.
  • Works to support working adult students in apprenticeship and related programs from initial enrollment to graduation, including understanding and supporting candidates addressing barriers to their career success.
  • Preparatory work for consultations with apprentices, committee members and regulatory personnel consistent with program support and program options at hours that fit others’ schedules, within reason.
  • Reviews and understands program and application materials, informs apprentices of their options and responsibilities, and maintains participant confidentiality.
  • Enters candidate, trainee, and apprentice data into organizational databases. In conjunction with the administration team, assures the accuracy and completeness of data collected, including data pertaining to eligibility, selection, employer utilization and outcomes, including proper documentation and quality checks for regular agency and grant reports and compliance.
  • In collaboration with the Director of Apprenticeship, collects and reviews data for reports for apprenticeship and related programs, including grants and database logging of apprentice hours and competency checks, and uploading this information to the State of Washington.
  • Participates in developing and maintaining procedures and processes connected with apprenticeship and other programing and works collaboratively with the Director of Apprenticeship, Training Fund Navigators, Member Service Representatives, and the Training Fund Leadership Team.
  • Assists with candidate and employer recruiting with community and industry organizations as directed.
  • Takes an active approach to problem solving and process improvement for program performance and improves efficiency and outcomes.
  • Communicates as a liaison and healthcare education facilitator with union staff leaders, employers, local community colleges and universities, and other program partners.
  • Coordinates with Training Fund staff assigned to other programmatic areas to deliver programs and services.
  • Acts as an organizational representative in all situations, setting a strong example of professionalism, work completion and quality, and commitment to organizational goals and ethics.
  • Establishes work priorities in a highly organized manner while maintaining flexibility in scheduling and adhering to quality requirements and deadlines.
  • Provides back-up coverage for other team members, as needed.
  • Performs other tasks and responsibilities as assigned by the Director of Apprenticeship and/or the Training Fund Leadership Team.

Desired Skills and Experience Areas (a range of the following):

  • Minimum of two (2) years of experience in social support work, union or employer administration/development, adult education/training or workforce development.
  • Knowledge and experience supporting working adults enrolled in apprenticeship, higher education, career counseling and/or case management practices
  • Curriculum development and/or teaching experience.
  • Material Coursework, Associates Degree, or Bachelor’s Degree in subjects applicable to the work.
  • Knowledge of college placement, advising, registration and enrollment processes.
  • Knowledge and experience with healthcare training programs throughout the Washington State college system, including familiarity with necessary pre-requisite courses.
  • Experience with program or audit compliance and proper documenting practices.
  • Experience in a union or labor management environment or an understanding of unions and ability to work in a labor/management environment.
  • Ability to navigate well in labor/management settings and build and sustain partnerships with external stakeholders.
  • Work with grant funders or in a grant environment.
  • Experience working in an environment with multiple partners and stakeholders.
  • Proven record of working collaboratively to meet performance goals.
  • Bilingual skills strongly desired.
  • Intermediate or higher proficiency in database systems.

Required Qualifications:

  • Proficiency with use of technology and data entry systems to regularly communicate, document and track member information.
  • Intermediate or higher proficiency in Microsoft Office Suite.
  • Spreadsheet skills and experience.
  • Ability to connect with and motivate potential members to engage in education and training programs.
  • Attention to detail and ability to comprehend, retain, and apply specific policy information.
  • Strong interpersonal and communication skills, written and verbal.
  • Willingness to learn and established history of learning and advancing own professional skills.
  • Ability to independently exercise a high level of judgment.
  • Experience working with diverse populations and addressing participants unique needs.
  • Flexibility regarding hours; weekend and/or late hours will be required occasionally.
  • Time management, organizational, and record keeping skills. Discipline in personal management, self-motivation, accountability and responsibility.
  • Ability to follow privacy policies (like the Health Insurance portability and Accountability Act (HIPAA), the Family Educational Rights and Privacy Act (FERPA) etc.) and respect confidential information.
  • Professional appearance and demeanor.
  • Valid Washington State Driver License and access to a reliable insured vehicle.

Educational Requirements:
Associates degree and 2 plus years’ experience, preferably in adult education, employment support, human resources, union organizations, social services, healthcare or related fields, or equivalent education/experience. See, “Please Apply” section below.

Compensation:

  • Annual salary on a step scale $ 58,000-$61,000 DOE.
  • Competitive compensation and benefit package; including benefit in lieu of retirement, health and dental insurance.
  • 1.0 FTE, Exempt position
