Finance and Administrative Associate

Organizational Description: Founded in 1972, the Chinese Progressive Association (CPA) is a grassroots membership-based organization that empowers the Chinese community in San Francisco and promotes justice and equality for all people. CPA’s campaigns and programs improve the living and working conditions of working class immigrants and give ordinary community members a stronger voice in the decision-making processes that affect them. Our core strategies are organizing, leadership development and alliance building.

Position Overview: The Finance and Administrative Associate supports the administrative, bookkeeping and financial operations of the organization. The Finance and Administrative Associate is supervised by the Finance Director.

Key Leadership Roles and Responsibilities
1. Finances

   Audit and Taxes

  • Support annual financial audit and city contract joint monitoring visits including coordination and preparation of documents for audit and monitoring visits; and the filing of all necessary documents to the IRS
  • 990: assist in completing the tax optimizer to submit to CPA’s accountant/auditor

   Payroll and Benefits

  • Administer Payroll: to create annual payroll calendar for staff, maintain payroll company and staff adjustments files, and collect timesheets and track vacation / sick time/ flex balance; create and submit reports as needed
  • Support the management of medical, dental, and vision insurance services, work with insurance broker for annual renewal; process paper work and reports as needed.
  • Support the management of 403b contributions and maintain staff contribution and update changes
  • Support the management of the FSA account, maintenance of accounts

   Bookkeeping

  • Implement and strengthen routine systems for invoicing, accounts receivable, and produce monthly and annual financial reports for review
  • Administer Accounts Receivable and record deposits. Track and pursue outstanding invoices
  • Support review and approval of all staff expenses (credit card and reimbursements) through CPA’s expense platform--Certify
  • Contracts and Subcontracts Invoicing
  • Administer billing for city/government contracts, grants, and subcontracts; prepare reports and reimbursement (invoice) requests
  • Prepare tax and other legal forms for independent contracts

   Budget

  • Works with Team to develop and track budgets for city/government contracts
  • Provide timely reports and monitor and update budgets as necessary

2. Administration and personnel

  • Assist the Operations Director with administering organizational insurance requirements including liability, workers’ compensation and other related coverage
  • Liaison to credit card and payroll companies for any questions and clarifications
  • Work with Operations Director to ensure all personnel changes are administered and tracked properly

3. Organizational and Program Support

  •  Support various areas of work within organization as needed and identified

Minimum Qualifications:

  • Commitment to social, economic and environmental justice, and bottom-up social change
  • Minimum of 2 years of experience in nonprofit administration or finance
  • Ability to work effectively with people of diverse backgrounds
  • Meticulous attention to detail and organization
  • Good team player and problem-solver
  • Takes responsibility and initiative in work
  • Can work effectively independently and as part of a team
  • Ability to multitask and follow-through on projects
  • Ability to pivot and adjust to new and shifting priorities
  • Strong organizational and communication skills
  • Proficiency in G Suite Apps, Microsoft Excel (or other spreadsheets application).
  • Open to entry-level position for candidates who do not meet the minimum qualifications.

Preferred Qualifications:

  • Experience with QuickBooks and QuickBooks Online accounting software
  • Experience with payroll administration
  • Bilingual in English and Cantonese or Spanish

Salary Range: 50-60K
