Assistant to the Payroll and Benefits Supervisor

Reports to:
Director of Finance – MNA

Also Accountable to:
Payroll and Benefits Supervisor

Position Summary:
This position is accountable for assistance in providing timely and accurate compilation of information for the preparation of weekly payroll and benefit administration.  This is a non-union confidential position.
 
Principal Accountabilities:

Assist the Payroll and Benefits Supervisor in submitting weekly ADP information, verifying output, and recording the resulting payroll and tax information on the MNA General Ledger in a timely and accurate manner. Create reports and disburse weekly or monthly payments for employee deductions withheld.  Reconcile yearend payroll reports and W-2’s.

  • Assist the Payroll and Benefits Supervisor in administrating staff benefit changes timely and accurately and in accordance with contracts for Blue Cross Health & Dental, Sentinel VEBA, FSA & Cobra, Nurses and Local 813 and Fidelity’s 401(k) pension plans, Principal Financial life, short and long-term disability plans and deductions for City of Boston Credit Union and other providers.
  • Assist the Payroll and Benefits Supervisor setting up and tracking all accrued and used vacation, vacation buybacks, sick, personal and holiday time using Unity Suite reporting software.  Provide a monthly report of unused vacation time.  Provide weekly report to the Receptionist on planned time off.
  • Assist the Payroll and Benefits Supervisor in providing wire transfer and reporting for Guild and Professional Employees Union dues, employee FSA, VEBA, Nurse ad Local 813 pension payments, wage garnishments, PAC accounts and MNA 401(k) plans.
  • Create and maintain worksheets for employee census/benefits/salary changes.
  • Manage Open enrollments for health/dental/FSA plans.  
  • Assist in interpreting information and reports.
  • Make recommendations for generating more meaningful reports or for more efficient means of recording and processing information.
  • Maintain filing system for payroll and staff benefits.
  • Monitor progress against established goals or standards.
  • Assist other Finance staff as needed.
  • Other duties as assigned.

 Qualifications:  

  1. Two (2) years post high school education/ two (2) years payroll experience preferred.
  2. Capacity for positive interpersonal relationships with client staff and members, peers, and supervisory personnel.  Works well with people at all levels.
  3. Must be proficient with the operation of computer equipment and software applications including Windows, Microsoft Word, and Excel.  
  4. Speed and accuracy in working with figures and attention to detail.
  5. Analytical ability in problem solving along with integrity and responsibility to handle monies.
  6. Excellent communication skills in both oral and written forms.
  7. Ability to work independently as well as good organizational skills.
  8. Ability to work accurately and meet deadlines.
